We were using both doc-link and OnBase for document routing and storage. We did get rid of OnBase and moved all documents to doc-link without issue. By choosing to have only one document management software we were able to save money in software costs.

DocLink is a very effective program for processing and maintaining files. It allows the user to scan invoices and documents into the program and move each file throughout the enterprise as necessary for review, approval, notification, etc. It eliminates the need to spend countless hours manually filing paper documents, reduces the need for filing cabinets, reduces issues with missing or misfiled documents, and creates a much more organized and efficient system.

I run a professional services business from home. I need to edit documents quickly and easily and with minimal subscriptions to minimize overheads. I love that Nitro is a one-off payment to get a license to the software, and you can simply upgrade to the latest version if that's what you want, but you're not obligated to. I've been using the same version of Nitro for 7-8 years now. Despite the fact the upgraded versions have a lot of great, nice-to-have features, the version I'm on still does the job.

  • Ability to combine files SEAMLESSLY and order them around as necessary (so underrated)
  • Signing not only for yourself but for others. Helpful for those who have been granted the authority to sign for VPs and directors

  • Converting from PDF to Microsoft Word can be complicated at times. Some parts of a document such as tables are not converted properly.
  • Sometimes it appears to be easier to save MS Word documents to PDF rather than using NPS to convert. It can be a bit slow to convert at times.
  • In my view, it wasn't user friendly at the beginning.

Usability
DocLink is VERY user-friendly! The daily functions are easily taught to non-financial individuals. It's easy to understand and easy to manipulate with a simple, functional layout. The Administrative module is not too complicated, but it would be more effective if there was a more thorough "help" section or an online forum for users. All of my knowledge is self-taught, trial and error, but it would be helpful for a new user to have an online resource to address questions or issues.

For the most part, the entire software is extremely easy to navigate and use. You won't need to follow tutorials or anything for the bulk of the core features, as it's all pretty seamlessly designed.

Performance
DocLink is quite reliable and effective. Scanned documents are easy to read with very slight loss of integrity. Pages load quickly with occasional lag loading very large files. We use DocLink with MS Dynamics SL, and the two systems perform well together without much interruption or ambiguity in the process. One issue we have is in relation to the number of licenses and issues we have when a session will not close upon exit, thus suspending an available license rendering it unusable. Although very infrequent, IT has had to manually "end" a session to clear the license.

Nitro checks all the boxes for what we need. It is fairly priced, it allows us to read and edit PDF documents, convert PDF to MS Word and convert MS Word to PDF. It allows us to combine multiple files and do all the post processing like adding page numbers and adding headers and footers

Return on Investment
  • Now set up it has significantly reduced admin time for everyone. I would say on average 1-2 hours per month per staff member spent on expense forms and submissions.
  • Cancelled paid version of slack as no longer needed.

  • Positive - Cheaper than Adobe
  • Positive - Allows us to modify PDF documents from our clients to submit our proposals.
  • Positive - Allows us to convert PDF documents to MS Word to share with our consultants and others without a PDF editor who contributes to our proposals.
  • Negative - Need to upgrade to get the latest features/versions unlike something like MS/Office 365 where we just get updates automatically and free for the monthly fee. Maybe they will or need to move to a subscription solution versus a product price.
