Considered Both Products
DocuWare
Chose DocuWare
We actually moved from DocuWare to Plate IQ because Plate is restaurant specific and shares many item codes, SKU #'s, etc from major vendors. However, we continue to use DocuWare for other data management because it was so useful to us while we used it for AP.
Chose DocuWare
Managing documents and processes are very similar. The added value of Docuware Cloud is seen in the administrative management and the investment cost.
Epicor ECM
Chose Epicor ECM
DocStar has more options and security levels and better OCR capability.
Chose Epicor ECM
Briefly evaluated Veeam before settling on new DMS that had these features. That product looked outstanding, but couldn't justify the duplication of costs for similar results. Did not get a lot of chance to use it, but the mobile availability to access the console looked great …
Chose Epicor ECM
This was the software that was chosen for the company before I was employed.
Chose Epicor ECM
A former employee of our company chose DocStar after much research and Q&A with the DocStar seller. I believe she truly put a lot of time/effort into choosing this system, but the end result is that it is not a good match for our company. After reviewing her notes, I believe …

We can use Docuware Cloud as a checks and balances program for our application processing in our data department. This is a time saver and allows us to access information at our multiple locations, as well as we have clients in various states. We can assign documents to others throughout the processing of applications, and this has allowed us to keep better track of our documentation with clients.

It is well suited for billing service storage and retrieval. It ends the need to pay extra for a storage space. It also makes for easy cleanup of files on a yearly basis.

Pros
  • Control of the flow of online processes
  • Automation of the company processes
  • Online forms and digitization of processing documents

  • Templates - By being able to create templates for each document type, it made organizing files much easier. It also made the titles similar in format, which also allows for better organization.
  • We were able to scan documents directly into docStar, which helped us eliminate extra steps. For example, if we were missing a page from a document, and we received it at a later time, we could scan just that page into docStar as opposed to scanning the entire document again.
  • The functionalities are straight forward, so it is not hard to use the docStar system.

Cons
  • No active directory integration, this doubles up user management.
  • No Outlook integration. Would be nice to be able to interact with Docuware from email.
  • No mobile application. We have many remote users that would benefit from this.

  • The procedure to save documents is cumbersome -- too many steps.
  • The naming process is not intuitive.
  • Emailing large documents from DocStar can be impossible -- if a document is large, we sometimes are unable to email it from DocStar.
  • Customer support has not been good. Training is confusing, and even after training sessions, we do not fully comprehend how to use the software.

Support Rating
We use a third-party company to assist in the support process, and they have been great to work with. Quick turn around on issues and almost immediate communication concerning support tickets. They are more than willing to consult with our IT partners as well, which is a must for our business.

Return on Investment
  • Purchasing approval control and monitoring. Allows us to keep tighter hold of the budget.
  • Had to spend considerably more than expected. We needed to hire a developer to build integrations.

  • We have saved almost 10,000 dollars a year just in toner cost. We had to implement some up front cost for tablets and other computer aspects but the initial cost of this was about 3,000 to 4,000 dollars. docStar has saved us an instrumental amount of money and will so in the future as well.
