Microsoft To Do (formerly Wunderlist) and Todoist are productivity apps that can increase your efficiency and allow you to stay on task.
Microsoft To Do is a new offering from Microsoft after their acquisition of Wunderlist. It is part of the Office 365 portfolio and allows easy integration with Outlook to assist you in keeping on track throughout the day. Todoist is a very popular application that features gamification of tasks to make getting things done more fun and to motivate users to complete their goals.
Both applications have free versions that make them attractive choices for individuals and small businesses.
Features
Microsoft To Do and Todoist each offer a few features that make them stand out next to their competition.
Microsoft To Do’s main advantage is that it is free and has no usage tiers. It also features Outlook Task integration to allow syncing with emails and calendars. And, since it is part of the Microsoft portfolio and is incorporated into Office 365 it allows team collaboration with other Office 365 users.
Todoist’s main draw is its gamification of tasks. The app is abe to award points for completed tasks, create streaks for continued usage, and also features productivity charts and visualizations so users can see their progress. Todoist also features natural language processing when creating tasks so users can spend less time keying in task details. The app also offers location-based reminders so if a user is near an place on their list they will receive an alert notification.
Limitations
Microsoft To Do and Todoist each have a few drawbacks depending on a user’s specific needs.
Microsoft To Do does not support the ability to export lists. This means users are not able to send lists to other users. Users also report disliking that there is no ability to add details under subtasks. Users can add notes, but they must click on the subtask to view these and they are not visible from the main task hierarchy. Another limitation of Microsoft To Do is there is no gamification or achievements to motivate users.
Todoist has paid tiers. This leads to some major features being left out in the free tier. Users also report that a calendar view is unavailable in the app. This means users who want calendar functionality must link Todoist to another calendar app. Todoist also features a very simple interface that some users report as a hindrance once projects grow to be very large.
Pricing
Microsoft To Do is available for free on all platforms. Todoist has several pricing options. A free version is available and holds up to 80 projects. The next step is the Premium tier for $3 per month and allows up to 300 projects and 25 people per project. Todoist’s top offer is their Business tier. This allows 500 projects per user and 50 people per project.

Wunderlist is a fantastic task management system, not the best project management system. For a long time, I tried to use Wunderlist to plan large events with multiple users and it wasn't as effective. But, once we simplified our desired outcome to accomplishing tasks that repeat or are unique to a given work-week, we had much more success. Now my assistant can manage her weekly tasks and give feedback through this app. I can also add tasks, assign them and see what is being accomplished
[Todoist: To-Do List & Task Manager is] fantastic for small teams or for personal use. Really simple and easy to use so requires very little in the way of onboarding and gets people engaged quickly in the tasks they need to complete. May not be perfect where more complex usage is required but integrates with other tools so time tracking and other add ons are more than possible through other tools.
Smart due dates are the greatest thing about Wunderlist. I can tell it to "print past due reports on Monday" and then set that up as a repeating event.
It's clutter free. When I'm creating or assigning tasks I like to have a distraction free area to think, and the simplicity of Wunderlist gives me that.
The fact that I can look at it on my phone, on the web, and on my PC and it always looks the same is great. I can always tell what I'm doing b/c of their consistent design choices.
Being able to manage tasks across multiple devices and platforms is absolutely critical to me. If I am out of the office, the tasks will be on my phone. But they are also readily accessible on the web, on my desktop, and on my iPad.
There are several ways to organize your tasks... via Projects, Labels, Boards, Lists, etc. that allow users to use Todoist to fit their productivity workflow. I use them all and I have been delighted to see how Todoist has continued to improve and advance the Todoist application over the years.
I rely extensively on recurring tasks which allow me to never forget a birthday, monthly submission, chore at home, etc. Todoist offers many ways to manage recurring tasks, such as, "every week", "every April 8", "every fourth Thursday in November", etc.
Sub-tasks should have their own separate due dates
The main list needs some more intuitive tools to sort the list in any way I choose
Hovering over links should show a description of how to use it. For example, it would have been nice to know right away that double-clicking on a task is the way to open the details list.
Task Dependencies - Particularly for business projects, I'd love if we could make one team member's task dependent on another's where we could say "do this task 3 days after another one is complete"
No Two Factor Authentication - For me personally, I like to keep all my passwords secure and backed up by two-factor authentication. Just wish this was something Todoist offered!
Adding Start Date & End Date - Sometimes I set an end date farther in the future, but I'm not alerted that I need to be working on it before then to achieve that due date. If I look at the "Next 7 Days" section, I can see upcoming tasks, but ideally, I'd love to be able to set a start date and an end date so it could appear in today's tasks without needing to be completed today.
The actual user interface and the way to navigate around the app is very intuitive and easy to learn/use which would make me give it a high ranking, but the syncing issues drop down my rating because there are times where you add an item to the list and then it just disappears. Then when you add it again the sync will happen and now you have duplicates. The other negative with the usability is adding extra information to an item, such as files or comments or assignments. You can do it but it's difficult to tell which items have this information from the main screen. You have to click on them individually.
Excellent features and concept, simple implementation, but the software is not very clear in training new users and communicating features. The occasional unexplained crash or freeze is not handled gracefully by the desktop software, requiring either the user or tech support to manually restart.
I have not had an issue where I needed to reach out to Wunderlist, but I know their contact and online chat is easy to access and feel confident that they would be helpful. My only worry is Wunderlist is becoming Microsoft to-do in May 2020, and I believe the app will become worse after that.
I've been able to find answers to any questions I have in the support documents. You can explore key features and view ideas and best practices for getting organized with Todoist. You can also fill out a support form to submit a request for customized help if you run into anything not covered in the support documents.
It's a small tool compared to bigger project management software, but we found that they work perfectly together. It helps you declutter the larger PM tools, keep your smaller tasks in-line and make sure they get completed. When you're working in a creative agency, ideas and tasks are flying around, so having a tool like this that keeps you accountable and reminds you of your tasks is a must!
Todoist is more focused on its goal than Google Keeps and is far more intuitive to use. For example, with just a click we see immediately that Todoist provides a way to distill tasks so that we only see what's immediately pertinent to us, via the Filters (which can be customized and set to various priority levels). Also, Todoist's project board is something Google Keep doesn't even offer, it really can't even compete with Todoist simply because Todoist does so much more and was obviously designed with the business professional in mind.
We reduced the number of meetings of teams and companies by 5 times because now all participants have access to comments and know at what stage the project is located.
Simple to use common to-do lists allow you to manage the projects of the group and give all its participants a clear idea of who is responsible for each task. There is no need to waste time explaining the business processes and responsibilities of team members
Wunderlist for business stores all group correspondence together with tasks.
This is convenient for all participants and for management because sometimes important moments are lost in other messengers or chats. Now you can do everything in one application. The number of problems with this
