Use Cases and Deployment Scope

We use Planview Portfolios to manage our portfolio of Digital projects across the organisation. The key business problems we are trying to solve are around gaining visibility of all Demand across the organisation and how this feeds through into a prioritised portfolio of deliverable work.

We have leveraged the tool to provide a consistent approach to capturing / defining work and planning key milestones, capturing delivery risks and resources/roles required to deliver the programme.

Pros

  • Flexible, highly configurable toolset to support a number of different business processes.
  • Product suite is constantly being updated with new features and a high frequency cadence of releases.
  • Good integration with dashboarding capabilities both internal and external e.g. PowerBI.

Cons

  • While the initial configuration is fairly easy to leverage to enhance the full features some core technical experience is required (this may not be available within the client's team - PV do provide a very good customer support service).
  • Enhancing the work planning capability. There is so much available that it can sometimes be a little overwhelming - again this could be due to the way that we have implemented some features (not an issue with the toolset itself.
  • Integration with provisioning systems (I know this is on the cards); to make the user management of the system at an enterprise level easier.

Return on Investment

  • In terms of savings/benefits (although these are intangible) is around the savings generated through the standardisation to capturing project information and drawing this out into reports so information can be quickly summarised at the press of a button.
  • Resource management giving us a clear picture of the demand for roles across the organisation and what individuals are in place and ensuring we have negotiated contracts with the right amount of headroom to support the work required.
  • Making work visible for various parts of the organisation (intangible)

We are using Portfolios for Portfolio and Resource Management (PRM). Planview Portfolios has helped us define a governance process around our initiatives and work to help ensure we are on track. We also have our Resources in Planview; hence, we have a clear visibility of demand in the pipeline vs. the capacity we have in the Organization.
