QuickBooks enables us to create orders, purchase inventory, pay employees, and pay bills to our vendors seamlessly. Without QuickBooks, we would need multiple tools to accomplish the same tasks that QuickBooks offers in one program. We appreciate being able to run QuickBooks on a local server, which allows us to maintain control over our data and avoid cloud storage.

Pros

  • Inventory Control.
  • Quick Reports on Parts.
  • Easily integrates parts with BOM.

Cons

  • Pricing.
  • Better Application for Inventory Control and Cycle Counts.

QuickBooks Desktop Enterprise Review

Use Cases and Deployment Scope

We utilize QuickBooks Desktop Enterprise for our daily bookkeeping and financial reporting. This is where we enter in our daily transactions to track income as well as all of our accounts payable transactions. General Journal entries are quick and easy to input and allow for me to allocate every penny to the correct account. This is crucial for budgeting. The same can be said for accounts payable. Everything is well organized and easy to locate and analyze. With the click of a few buttons, I can find any expense with the corresponding invoice. We do not utilize QuickBooks Desktop Enterprise for invoicing due to the nature of our business. All invoicing is handled through our veterinary software. QuickBooks Desktop Enterprise is where we go for all of our budgeting. Because everything is well organized and detailed, you can look at as big or as little of the picture as you want. We utilize the software to locate any areas of concern within the budget. The software can be difficult for new users without training as it is not extremely intuitive. There are numerous tutorials available, however, and once you learn how to navigate it, the software is incredibly easy to use.

Pros

  • Detailed organization of financial information
  • Several security measures and double check systems to ensure incorrect entries aren't made. This prevents accidental errors and protects the company from fraud.
  • Ease of overall use
  • Reporting can be as detailed or as general as you prefer. Each report allows you to look at the overall picture or access specific details of each aspect of the company financials.

Cons

  • The system is not intuitive. Without training or guidance from another user familiar with the program, it can be difficult to navigate.
  • Remote access requires a third party.
  • Bank Feeds can be finicky when trying to load transactions. There are frequent connection issues and errors.

Return on Investment

  • Time saved bookkeeping frees employees for other tasks
  • Security ensures accuracy and saves time and money on corrections
  • Detailed reporting makes it easy to locate and correct and problem areas with income and expenses

Return on Investment

  • Meets our needs for invoicing, saves manual process resulting in one staff position reduction
  • Onsite install saves us several thousand dollars.
  • Inventory has caused an external processing and data entry expense - this costs a couple of thousand dollars initially and now annually is a cost of $2,000 labor.
  • Statements that are not reflective of individual customer terms render some customers' statments useless.
  • Vendor payment management has eliminated late fees saving several hundred dollars per year.
  • The new licensing scheme has us looking at competitive systems and we are finding more than we expected at much less cost.
  • Customer support for assistance on older versions to recover the admin password cost us 4 months of delay and at least five thousand dollars in staff time.
  • Inability to make current history and setup configuration transfer to online - tried for several months, with QB Support which is not highly qulaified - many foreign phone answerers that just move to recover account option - total waste of time.
