The breadth of features is such that Cvent Event Management is a strong choice for events of significant scope and complexity, particularly in volume and diversity of programming. The learning curve may be on the steep side for customers with simpler needs, though Cvent Event Management is addressing this by providing more streamlining in their solution suite.

Hopin is very suitable for large events involving 100+ people where there are only a couple of people speaking. You can have a bunch of features such as networking and all in all, is quite a professional experience to use. For smaller groups, It takes too much effort to set up and isn't worth using over Google Meet or Zoom.

  • Hopin constantly is iterating to create a really user-friendly back-end system. As a company, it recognizes that event managers are being faced with the challenge of becoming virtual production technicians and mak[ing] that change easier to manage.
  • Hopin's back-end studio broadcast system makes it easy to create a seamless stream between pre-recorded and live presentations, with additional branding assets to make the overall stream look more professional and put together.
  • Hopin's networking and polling functionalities create great engagement within the platform that is measurable.
  • Hopin's ability to integrate with Salesforce and Marketo makes the lead flow process automatic and saves Event Managers from having to transfer that data manually.

  • You have to implement a workaround to use images in your session descriptions.
  • They tend to add features by acquiring other platforms, but then don't always cleanly integrate them into Cvent itself, so they always seem sort of ratcheted on.
  • The media and document library is pretty basic, so you need to take extra steps to link PDFs and other documents within the registration process if you choose to host the docs on Cvent.

  • The customizing capability of their landing pages and event is extensive but difficult to do without a background in design. Although designed to be user-friendly, it still takes a large investment of time and learning to do well.
  • The registrant join flow for their embedded registration form is lengthy and clunky. Thankfully if you utilize one of their many automation integrations, this isn't a necessary function.

Likelihood to Renew
I enjoy the app and what it has to offer. It makes working in events a lot easier! Before I would have to go to our warehouse and print name badges and write out different names if they needed it. Attendees also did not have access to our breakout sessions. Now, I can adjust names onsite and we can allow attendees to access our sessions before the event begins

Usability
Cvent has a lot of functionality, which can be overwhelming to new users who are not too technically savvy. However, Cvent does a great job of providing tools and support for users to learn and troubleshoot. I also appreciate the work and progress that Cvent has been making in Accessibility.

I'm a pretty tech-savvy person but I still feel that Hopin was pretty user-friendly even for those of you who are less tech-savvy. Great thing is, you can play around and test the platform with the free version which allows you to get familiar with it before committing to the paid. I learned most of it on the free version which then made me more confident when deciding to use the paid version. Not only did it help me on the setup side, but it also proved to me that this was what we needed to do what we needed to do.

Reliability and Availability
Cvent does go down pretty frequently. And while it often doesn't impact day to day use usually, if it does go down at the wrong time, you may not be able to access very important event information when you need it. Usually outages do not last very long, but it could still be a very bad situation if this happens at the wrong moment

For the most part you're able to get a response from a support person within a few minutes, but there was a stretch when Hopin was reshuffling its staff that it sometimes took 24-48 hours, which is too long. However, as long as the staff remains stable - which seems likely - then its Support team is usually quite responsive.

Implementation Rating
It would have been nice during implementation if we had received more pointers on how to organize our parked report folders, libraries, etc. to avoid the mess we find ourselves in today. If we had known ahead of time the limitations we could have planned better.

Return on Investment
  • The Cvent suite of events has drastically reduced redundant work throughout our events department allowing us to streamline a lot of the registration/software aspects of our events and allow us to focus on other areas of our events that had previously been placed on the back burner.
  • Since Cvent Event Management is so widely use, many of our attendees, exhibitors and speakers are familiar with the platform so they are able to seamlessly operate within it for their needs with little to no learning curve.
  • We're able to pull more accurate and customized reports based on specific information we need with each event.
  • We able to offer our registrants a more customized experience with their registration and event platforms. This allows us to customize and innovate our events in new ways we previously hadn't been able to.

  • Hopin has allowed us to extend our reach and become a go-to option for event organizers in the genre fiction space.
  • We are able to host multiple events per month, some of which would require a mix of paid staff and volunteers with 10 times (or more! I've been on those teams in the past!) the number of people we need using the tools and automation in Hopin.
