Viewpoint ProContractor vs. WorkflowMax

ProContractor is a great fit if you are looking to make the jump to an ERP (accounting) system that offers a higher level of complexity and controls than what QuickBooks or Xero have to offer. However, some of those increased features of accounting controls, vendor compliance management, project contracting and documentation, come at the cost of lost integrations. ProContractor is completely siloed and does not openly communicate with other platforms (project management, bank accounts, etc).

WorkflowMax is a good solution for the architecture and design profession in that it allows for multiple ways to track a project, apply time to a project, and invoice against a project. The ability to do staffing forecasting and future planning fills a need that most firms in this profession require.

• Great for managing teams which are not in one spot. Awesome for small or growing businesses with employees who might work from home.

• Great for keeping all the information for each project in one spot.

• We just changed over to the cloud based system. In my opinion, it a disaster- It does not work
• Program is not responding- complete company shutdown
• Tech support is not responding

• Integration with inventory - there are a lot of companies out there which provide a service which includes selling items either purchased or held in stock or "kitted"
• User permission levels need to be more flexible and ideally closely tied to Xero
• Two way integration with Xero - ability to import invoices to specific jobs
• Ability to save pdfs to purchase orders, invoices (like Xero)

I give Viewpoint ProContractor a 10 out of 10. This system is user friendly to help keep me organized on a daily basis. I can find everything I need daily with this system. I am able to look up our subcontactors, vendors and clients I need to find quickly. I am able to see bills that I need to pay as well as invoices that I need to send out.

It's easy to use and provides me with instant online access to the management of my business whether I am at my desk or overseas

When something isn't working, you can contact support who will gladly remote into your system and try and work out a solution. Though several of the issues we encountered, they were not able to fix and had to submit for further review. While some were eventually rectified in updates, it takes time for these to be addressed and implemented.

Decide how to breakdown your ongoing jobs - are they monthly recurring or annual broken into chunks? What are you going to give clients i.e. how will your proposals and invoices look?

Previously our company used QuickBooks. We loved the ease of use, however we needed something with a certified payroll module. We have looked at migrating to Vista however the expense is quite large and the support we may or may not receive from Viewpoint is questionable. I say that becuase when Viewpoint stop servicing Viewpoint for Projects it was a very difficult time to even receive a hard drive with all of our documents that were stored within the service

I'm not sure if it was by Ascentis or not, and it may have been an old version, but we used a program called Timekeeper. It was very outdated, difficult to use, and didn't provide easily producible reports. WorkflowMax is infinitely better to use for our business.

You can clearly verify how much time the staff spends on each project, with each client, and you can compare whether it is profitable or not the hours invested, thus increasing your profits.
