Use Cases and Deployment Scope

Agiloft is used as our contract repository and lifecycle management tool. When a recruiter requests a new employment agreement, they complete a form in Agiloft which then populates and creates a print template from the information in the form. We then review and send the generated template to the employee for approval. Once approved, Agiloft sends the agreement through DocuSign for electronic signature. All contracts an related amendments are stored in Agiloft where they can be searched and reports ran on the data.

Pros

  • Agiloft gathers and stores data very well
  • Reports are easy to create and run
  • Agiloft integrates with other products well
  • Agiloft automates emails to other departments with relevant information as status changes.

Cons

  • We store amendments to our employment agreements and Agiloft does not data stack the changes into one record for easy review
  • Once an agreement reaches the start date, Agiloft often fails to move agreement to active status

Likelihood to Recommend

Agiloft is great for storing contracts and being able to run reports on those contracts. Where is lacks is when there are amendments to the contracts which change information that you will run a report on. Since the data doesn't stack, if I wanted to run a report on any agreement with unpaid time off and there was unpaid time off added in the first amendment but removed in the second amendment, the first amendment would still hit the report even though the unpaid time off was removed in a later amendment.

We use the Agiloft Contract Lifecycle Management for managing the contracts with vendors. We also use to renew them as soon as possible to allow for the highest number of discounts. The main business problem resolved by the software is replacing paper documentation. Another one would be replacing the Excel and Doc sheets. It has become significantly easier for new employees to understand the way the contracts work compared to having folders of contracts. During Covid, where "emergency situations" became more commonplace, regular changes in contracts are only possible through software like this one.

Pros

  • Time management for the contracts.
  • Quickly reviewing/editing contracts.
  • Speed of new contract creations.
  • Categorizing the contracts.

Cons

  • I am not a fan of the color scheme.
  • Many unnecessary integrations (Alexa).
  • Logging details about contracts should be easier to customize.

Likelihood to Recommend

It is useful for contract management as it is supposed to be. I like the new interface a lot. It looks much more modern now. It is not as easy to manage documents that are not contracts. We tried to use the software as a vendor management solution, but eventually, the company decided to use another software instead. It needed customizations for our use case, which we could not afford to spend time on.

Agiloft is managing all of our hospital and physician contracts that we negotiate with the health plans. The primary owner is our department which is the managed care department of our health system. We work with legal, compliance, risk and security during the workflow of the contract. Once the contracts are signed and put into action, we are able to publish all of the contracts to our central business office. They are part of the revenue cycle and have to review the contracts from time to time. Especially if there is a question on payment or lack thereof.

Pros

  • Categorizing data based on your specific business needs.
  • Comparing documents and identifying risk.
  • Workflow management and visibility into state of things.

Cons

  • Reporting ( I would love to see Power BI integration).
  • Easier to design End User Portal.

Likelihood to Recommend

It is very well suited to companies that really want to customize their CLM to suite their needs. Agiloft is very flexible and has the ability to do whatever you need. We have been able to categorize our contracts based on industry standards which makes it very easy to search. Single sign-on has made user creation super easy and has allowed us to deploy quickly to over 500 users. There is no additional charge for end users to view which has saved us when compared to other vendors.

This system is being used across the whole organization; however, the Legal department is the main user. We have not yet rolled this out completely, as we are still fine-tuning it as we receive feedback from our core users. The goal is to use this system to manage both internal and 3rd party contracts across every department. Our current method is manual, meaning all drafting, reviews, approvals, and tracking are done by hand, through Microsoft Office, or via email for each agreement. We are hoping that Agiloft will reduce the turn around time for each contract and give us a simpler way to track the initiation of contracts through to expiry. Much of this we have already experienced through system testing. This should also allow us to get closer to a paperless system.

Pros

  • Customization of print template request forms: The customization of the request forms that are used to fill the blank fields in our contract templates is simply amazing. They don't only pull simple information like dates or financials but can be built in the back end to operate around rules. For example, We have a rule set up that a territory can't be selected for a given agreement if that territory is already in use. Before this we would have to manually search a list of all territories and whether they are exclusively used.
  • Tracking Function: This system allows us to track our contracts using any data we deem necessary. We can track by expiry, contract amount, contract type, territory, contract requester, etc. We can also create saved searches for particular contract data sets that we use frequently. These can also be very easily used to generate charts or graphs which allow us to see our rate of compliance and much more. This a functionality that we did not have when we tracked everything using one big excel spreadsheet, which had to be updated manually.
  • Employee/User Management: Agiloft allows us to manage our employees' ability to interact with the system. In our organization, some groups need more access than others. Some need to be able to view our contracts, and some need to participate in negotiations, approvals, signing, etc. This allows us to create groups which we can organize our employees into and restrict or enable access where necessary. Before Agiloft we would have to send contracts to employees via email upon request. Now they can search for themselves, which is much more efficient.

Cons

  • It would be nice if there were a way to upload an executed agreement and have the system pull the details into the contract record.
  • Maybe having a "themes" option so that individual users could pick a color scheme/layout that worked best for them.
  • Having a Chat feature could be helpful instead of sending internal emails.

Likelihood to Recommend

Any organization that does not currently have a designated contract management system or who is looking to upgrade to a newer more capable one would be well suited for Agiloft. Additionally, any person or company that deals with a high volume of contracts, agreements, legal documents, etc., would benefit greatly from this system.

Use Cases and Deployment Scope

We use it differently today than we did originally. But it is used to communicate to our stakeholders' project status as well as a knowledgebase for all related docs, etc. It has become our trademark in the marketplace for people to receive communications that have a consistent format. We feed it with reports from a field reporting tool and it aggregates them and sends them out. This platform allows us to perform a lot of tasks with less resources.

  • Reporting - If reporting is important, you may consider another platform like Tableau which can be fed from Agiloft

Likelihood to Recommend

Originally we used it as a guide for a workflow and it was amazing. As I stated earlier, we currently use it to decimate status based on tasks, great. We tried to use it as more of a Project Management platform and it wasn't really the best, but it isn't made for that either. Then again, using Microsoft Project can be linked to it to communicate the milestones.

We utilize this unique tool to manage requisitions, approvals, and contractor ticketing. Users across the entire business create requisitions, approvals route to the appropriate budget owners (based on a developed workflow), the appropriate finance team member, the entire accounting team, then the legal team for contract negotiation and purchase order creation. Agiloft has decreased our requisition approval turnaround time by four days - a huge value add to a fast pace high volume company like ours.

Pros

  • Ease of use for both end users and administrators
  • Limitless workflow development to automate processes
  • Flexibility to integrate with other software platforms

Cons

  • We have a history of quick but unhelpful responses from customer support. Fortunately, we are able to work with our implementation specialist when support tickets require escalation. There is a clear eagerness to assist, but the communication from support lacks depth. You have to be extremely specific with your desired resolution.

Likelihood to Recommend

Agiloft is perfect for managing requisitions, linking those requisitions to their appropriate contracts (and getting the contracts directly executed via DocuSign or Adobe), notifications on upcoming renewals, spend tracking, trend analysis, contractor access management and ticket automation, audits, and much more. The tool flexible enough to integrate with other platforms but users need to be made aware of the requirements/limitations of the integrations.
