Use Cases and Deployment Scope

We use Assembly Neos as our client database, document retention & generation, creating settlement disbursement statements that include all possible fees/splits, case expenses, liens, etc. Neos has made my job easier in many areas. It is user friendly, secure, the training sessions are free and very detailed and they are offered continuously on all the features available per your plan. The customization of your documents is a huge feature IMO as many law firms seem to trade employees like it's the NBA so letterhead and staff info changes frequently.

In my opinion, it's one the best legal case management programs I've used and I've been working in the legal field since my first job post high school and I'm now "twenty-nine". lol I've previously used Practice Panther, Clio and Amicus and the features in Assembly Neos blow them out of the water, legally.

Use Cases and Deployment Scope

Our main problem is how to keep all office contacts; including clients, attorneys, doctors and other medical clinics, and Social Security Offices in the same area for easy access. With Assembly Neos, it is very quick and easy to find a contact. If we can't understand someone's name, we can use their phone number, DOB, address, email, etc. For each contact we input to needles, we are able to Categorize the, based on what their role is. For most, they are claimants, and we can organize those based on T16, T2 or both.

Assembly Neos is well suited when a client calls in wanting to check the status of their claim. We always pull them up in Assembly Neos by either their name or phone number, once we pull their case up, we can access their SSN to check the status of their disability claim. Sometimes, in the notes tab, we can see when we last spoke with them and all the information we got from that last conversation. This is great to be able to know when we need to start getting updated information or so we can gain a better understanding of what is happening with their claim.

I use Assembly Neos in my organization by drafting pleadings, scheduling events, creatings checklist items, and ensuring all metrics are done timely. The only issue I am having is the constant logout that happens at least 8 times a day. To where I have to log back in and re-pull any report that I am working on and ensure that my timer is still ongoing from where it left off when I was logged out.

Pros

Calendaring- How it automatically goes into Outlook
Easy access to go into Sharepoint from the Case Docs screen
Being able to send emails directly from Assembly Neos.

Cons

Being logged out while in the middle of working on something.
Case information not merging from Assembly Neos into Outlook when calendaring an event.
When deleting duplicate documents, they still show but are not openable.

I use Assembly Neos daily for work as a case manager. I use pretty much all areas of the program. The notes tab is helpful as we text clients and take notes in there, use review/status to keep note together, and the attorney uses it as well. The value tab is helpful for approving treatment, the records tab is always organized and user friendly, and then the documents folder is user friendly as well.

Assembly Neos allows us to keep all our cases organized, easily accessible to everyone on the team. Our use is for legal files. One of the best features is being able to run reports on all our cases allow us to stay on top of deadlines and filings. Being able to tag emails and documents easily is also a key feature for us.

Assembly Neos is well suited for the legal world without a doubt in my mind. In today's world where people are still virtual and in office, it allows everyone on the team to access files easily and from wherever you are. Running specific reports is a great feature for attorneys. I cannot think of a scenario based on my experience where it is less appropriate.

Our office uses Assembly Neos to manage all our cases from beginning to end. with all its recourses it helps us manages cases very organized and timely manner. Each one of the employees have their own way on working on a case so thankfully with Assembly Neos we can all work on our cases in a different way but very organized for the next person to know the status on the case or where to pick up.

Assembly Neos is used at our company to manage all of our Personal Injury cases. It creates a database that allows us to quickly locate clients and identify who handles a case when we get mail or a phone call. It helps to keep all of our documents organized and is highly customizable to allow for different types of cases and what works best for that situation. You are able to keep the contact information for the client up to date and clear which is helpful if you have multiple people working on the same file. The notes section is also helpful for this reason. One of my favorite features is the special note which keeps the note under the case info, so that it is visible every time that you open the case. This is very helpful as a flag to remind everyone of a certain detail of the case like if you have been notified of a lien, if there is an ongoing bankruptcy, who you should and shouldn't contact, etc.

Neos is great for organizing cases especially where multiple people are working on a case. It might be difficult if you have people on your team who are not tech savy as some of it is not intuitive and the training is not always extremely detailed for people who don't handle new technology well. It can also be difficult if you have multiple peope who are not all on the same page about how to use the program.

We use Assembly Neos for document management and also case management. It's great for keeping emails, notes, text messages, and documents in an order that's easily navigable, so that it only takes a glance to see where we are in a case. I like how the calendar syncs with Outlook so I only have to enter deadlines once.

You can only see 50 notes at a time
You can only navigate through notes one way from the particular note you started on
You can't rename documents when tagging from Outlook

Unfortunately, you cannot organize the documents within folders by date, size, etc, only alphabetically. I like the nice settlement memos it creates, but they are nearly impossible to edit. I wonder if there is a way to link invoice documents to value tab entries?

The reports and notes features allow making accountability for files an easy process and the cloud based system makes accessibility outside the office simple and secure. If you want to gain back lost productivity, Neos is right for you.

We are a defense litigation firm and we use Assembly Neos as our file organization system. It is also integrated in to how we use calendaring and emails.

Making system more user aimed at defense (versus plaintiffs)
Better interface with PDFs
More clear notifications on due dates

It is very good for remote file management and being able to log in from out of the office. Legally, it has many functions that an attorney would want to utilize. However, it is mainly directed/designed for plaintiff firms. It would be better to have the software paired to work with defense firms.
