Best Office 365 and On Premise Backup Solution for Exchange and Sharepoint Data!!

Use Cases and Deployment Scope

We have an exchange hybrid environment and have been looking for a product to be able to backup our Mails and Data on Sharepoint / OneDrive. After trying some products we decided to opt for CodeTwo Backup because the product is very easy to set up and the user interface is straightforward. Setting up the back up jobs was no problem at all. The business problems the product addresses and also the scope of our use case are the possibility to be able backup up the above mentioned data and being able to recover them without any hassle when need be. Not forgetting how fast we can perform these actions. That was not passible with the solution we used before we started using CodeTwo Backup.

Pros

  • Backup all the information in Microsoft Exchange mail accounts on premise and also Microsoft 365.
  • Backup all the information in Microsoft Sharepoint / OneDrive accounts on premise and also Microsoft 365.
  • Restoring all the data in Microsoft Sharepoint / OneDrive accounts on premise and also Microsoft 365 without any complications.
  • Restoring all the data in Microsoft Exchange mail accounts on premise and also Microsoft 365 without any complications.

Cons

  • The possibility to create a support case without having to log in to the portal.
  • Overview of the backup mailboxes or Sharepoint / OneDrive data and their sizes so that one can see how big the mail accounts are
  • The possibility to generate reports of the created backups
  • Possibility to set up mail notifications like alerts, etc.

Likelihood to Recommend

Because we have an exchange hybrid environment finding the right product which suited our needs was not easy. But with a product like CodeTwo Backup we are able to back up only specific mail accounts / mails which are mapped to our archive systems. That was not possible with other products we tried.The possibility to be able to choose which account to backup or restore and the option to be able to backup up specific Data on Sharepoint / OneDrive is awesome.Not forgetting how pretty easy the licensing procedure is when purchasing the product.

Use Cases and Deployment Scope

We are using it mainly for list and library migration from one site to another. It is almost impossible to move large lists with attachments with just Microsoft tools, including PowerShell. SharePoint sites were not configured correctly the first time, and many lists and libraries had to be migrated. CodeTwo licenses per user, so site migration is a good use case - you can remove most users rights to the site before taking the backup.

  • Can combine two lists into one

Cons

  • None offhand
  • This is really a solid product

Likelihood to Recommend

Well suited for backup/restore. Well suited for migrating large lists/libraries. Best available for large lists with attachments. Maybe not the best solution for regular backups - as that requires storage, and storage is probably why you migrated to M365 in the first place.

CodeTwo Backup for Office 365 is well worth it...both for your companies data and your job's survivability.

Use Cases and Deployment Scope

We use CodeTwo Backup for Office 365 as an organization wide compliment to the built in Backup/restore functionality that comes with Office 365. The most important benefit for us is a much easier interface in restoring files vs. using the default MS offering. It is much more intune with looking like a Backup Exec type product and removes the unneeded requirement of having to use Powershell for what should be more simple operations.

Pros

  • Takes the unneeded extra technical knowhow out of restoring for lower level IT employees.
  • Like other CodeTwo products, it is very easy to setup and confirm it is working.
  • Allows the ability to restore mail from one users folder to another. A great feature most products like this do not have.
  • Licensing and pricing is very friendly for cost strapped businesses.
  • Has throttling capability to avoid throwing a red flag with your tenant's settings.

Cons

  • The reporting is very simplistic and not up to par with how good the rest of the product is.
  • As far as I know, there is no cloud/SaaS option so you must designate a local workstation or machine to host it.
  • Archive mailboxes cannot be backed up. That is actually a fairly large issue.
  • Support online is a bit lacking since it is not used by a larger userbase at this point.

CodeTwo Backup for Office 365 is the rare type of software that works for both SMB's and larger businesses. The built in backup and restore features of Office 365 are too rudimentary and PowerShell based to allow lower level IT people the ability to use them. CodeTwo opens the door to allowing day to day helpdesk employees the ability to assist customers with restore needs. As with anything Office 365, there is a limit on how well is works with the system and CodeTwo does not backup Archive mailboxes so if your organization is one that uses them extensively, you should go into the deal realizing that archive restores would still need to use the built in MS offerings.

Good solution for Mail Backups on premises

We are using it for a couple of clients to back up their Office 365 mailboxes. The client has long-term retention needs for email, and this was a good option for them to back up and keep for long periods of time.

Pros

  • reliable

  • Application is lightweight

Cons

  • requires local storage
  • notifications
  • need to be able to store in cloud

Likelihood to Recommend

Code two works well and will allow you to back up for long retention periods. However, there is a need for local storage. So if you want to keep those backups for long terms, for our client 30 years, then a lot of storage space is needed.
