We use Abstract Management to collect potential presentations for our Symposium each year. We also use it to collect award nominations for our Innovation of the Year award which we also award at our Symposium. We like that you can send out the link provided and anyone can submit. We set up our judges/reviewers and it is easy to include instructions on the portal so they know how to judge. This year we are utilizing the ability for the reviewers to receive emails as submissions are received so that they can review as they come in instead of reviewing all of them at the same time closer to the deadline. It is super efficient in sending out acceptance and rejection emails. We also like that Abstract Management works together with Events and we can pull in the sessions into those events straight from Abstract Management.

Pros

  • Provides a way to loop accepted presentations into the events

Cons

  • Marketing weblinks could be added so that we can pull reports of which links were used to drive submissions
  • Runner-up emails. Something between reject and accept. For our Innovation of the Year award, we reject everyone who did not get the top 3, send out the accept email to the winner, but just leave the 2nd and 3rd place in the submitted mode because there is not an in-between.

  • It has a positive impact on gathering attendees for our events by allowing them to submit presentations and receive emails to register.

We mainly use it for speaker management for our conferences. We use it to be able to customize our forms and it allows our speakers to submit their content to us as well. It’s easy to use and speakers can do it from their phones. I can easily accept or reject speaker submissions as well.

Use Cases and Deployment Scope

I use Cvent Abstract Management in conjunction with the Cvent Event Management platform to help one of my clients manage their abstract submissions from authors. Prior to selecting this software, they were using a survey platform to capture the submissions and dispersing it to their reviewers manually. They receive between 70-100 abstracts each year so the work to manage them was rather tedious. Cvent Abstract Management helps not only the collection of the submissions, but also the reviewing, approval, and scheduling process.

Pros

  • Flexible submission options, with question types, file uploads, and data collection.
  • Gives you the option to automatically assign reviewers to an abstract based on category, or assign them manually.
  • Allows you to connect your Cvent event to the Cvent Abstract Managementt portal to schedule accepted abstracts as sessions within your event.

Cons

  • Whoever submits the abstract is designated as the primary author, and if that isn't true in your use case, the co-author fields cannot include additional text or question widgets to help you differentiate authors.
  • Reporting options are not as robust as Cvent's event management platform, and sometimes don't offer the variety of output you might need.
  • Email options are limited, and emails cannot be test-sent.

  • While the product has saved the client time in sending acceptance/rejection notices and scheduling abstracts to their event, the output of the reporting has still been an issue; a lot of manual adjusting has to take place with the data for them to utilize it properly.

Cvent Abstract Management was a fantastic addition to our Cvent suite for a conference. It was easy to follow, reviewers could easily access the submissions and it linked to the Cvent event management platform. It was a one stop shop!
