Use Cases and Deployment Scope

My organization integrated Cvent Passkey just over one year ago and it has already paid for itself. Our ancillary revenue has increased by over $150k in the first year alone. The software has also given guests the option of choosing their accommodations versus the traditional or basic rooms that conventions typically contract.

Pros

Streamline the reservation process

Cons

Only wish the editing options for website had more options
There are some intricacies, leaving room for small errors
When first starting, pop up function tutorials would be helpful

If a property is managing a block of 15 or more rooms, Cvent Passkey is extremely helpful as it helps streamline room types, attendee types, and premium up-sell options. If you are working on a smaller group that has specific requirements that restrict their room options, basic booking software will suffice.

Use Cases and Deployment Scope

Cvent Passkey has many features to offer and is a great tool for citywide events using multiple hotels. Accessible 24/7 for attendees to place reservations Planners Portal Availability is shown in real-time Ability to showcase attractions Send messages about the event, city, or other information that attendees should know Passkey support is always available to assist with any issues or questions. I am sure others will be able to add to this list.

Pros

easy accessibility

Cons

Ability for attendees to look up the master acknowledgment, then display all reservations under it and allow them to select which needs to be adjusted. Defaulting back to the screen to select the next one to change. So that they wont have to go in and out multiple times.
Affiliates to use the manage.passkey.com. There are many planners that prefer to use this side.

Cvent Passkey is a great tool for large events using multiple hotels. It allows attendees the ability to see inventory in real-time and place reservations. Since it is accessible 24/7 not only can attendees place reservations at their convenience but planners are also able to check pick-up and or run reports when their schedule allows.

Use Cases and Deployment Scope

We use Cvent Passkey in our organization to help make life easier for our attendees once they register for our event and need to travel. It is helpful to have a one-stop-shop for hotel booking, particularly in a post-COVID era as our attendees are sometimes traveling for the first time in a while.

Use Cases and Deployment Scope

At my organization, I take calls from our convention housing line and help city-wide conference attendees make their reservations for hotels in the area. Cvent Passkey has been extremely easy to use and very helpful for the hotels. City-wide meetings are 600 attendees on peak +. This is a great way for the hotels to outsource these reservations so their properties don't get overwhelmed with calls. The only thing that could be better is making multiple reservations at once. We always have to copy the reservations multiple times for groups which is quite time-consuming.

Bookings made through Passkey feed directly into hotels' reservation system.
Real-time reporting on pickup.
Planners can see the group's status.

Cons

Mobile App
Email confirmations take awhile to go through.

As a hotelier, this is a great product for the client and me. They have a dedicated place to upload, manipulate, and check their rooming list. Especially in today's world, where everyone is short-staffed, having to stop writing a contract for one client to send a rooming list to another is time-consuming. Personally, I used to be a team of 4, and now it's just me, so my time is precious and has to be managed perfectly. This system allows my clients the ability to see their list, make changes or additions. A win-win for us both!

Emails - so the guests can get confirmations

Cvent Passkey is being used by a few departments across the organization for various events. It helps us stay coordinated and organized on our room block, making sure VIPs have rooms, we've fulfilled our contractual obligations, etc. It saves us so much time because we don't have to pull those reports manually or wait for the hotel to provide us with updates.

Cvent Passkey is great when you have a particularly large or complicated room block situation. It's also great when you are in the unfortunate situation of needing to cancel or alter an event. It keeps everything so organized and in real-time, so folks can make decisions quickly and easily. It is not as appropriate when you don't have a room block or it's a very small event.

We use PassKey here at the hotel for our larger groups, and specifically more recently, for our wedding room blocks. It truly helps brides/grooms and their families to be able to specifically monitor their room blocks. It is so convenient, as the guest themselves can log on and check to see changes, additions, and updates.

I think passkey is a great tool and find the majority of its functions and options super helpful! I really enjoy being able to make changes and updates to my rooming list without having to contact the vendor every single time. For most use cases it generally fits the bill. It is very easy when you are uploading large rooming list with ease. Even if a rooming list is formatted differently than we prefer it is still very easy to manage.

Integration with hotels that have a passkey license.
Easy to take a quick look and understand a snapshot of your entire event.
Allows for integration across all departments of our organization.

Cons

Interface could be very user un-friendly; if they could update that it would help.
A bit time consuming to set up.
Cannot integrate it within the registration process of Cvent Event Management.

We use Passkey to manage our room blocks with hotels.

Pros

On-demand info.
I can get info whenever I want and not rely on someone to pull a report for me.
I always know where I stand with hotel blocks.
Lifesaver.

Cons

I wish we could somehow enter our data in it. We reserve our own rooms at a hotel, but they are not reflected until we send the names of our employees 3 weeks before the event.

Likelihood to Recommend

I love that Passkey gives up to date information on who has booked in our hotel block. It provided a dashboard look at the numbers, but also the names of the attendees that booked are included. I always know where we stand with our room block and I also can look for abuses of the room block. People who are not attendees that have booked our rooms and duplicate bookings can be addressed in advance. No last-minute surprises!
