Use Cases and Deployment Scope

We utilize Cvent Event Diagramming nearly every day at our event agency. We utilize it to create floorplans for indoor events, and outdoor festivals and programming. We love Cvent Diagramming for multiple reasons, but two main reasons are:

1. We use the "collaboration" feature often to share live updating links with our clients.

2. We are able to receive floor plans from venues that are editable and scaled accordingly.

Pros

  • Scaling - I love that you can scale a layout in the program, and it tends to be pretty spot on. For example, we could have 20 different measurements for a street, once we type in a single measurement the rest auto fills (and is REALLY close to accurate).
  • Uploading - I love that you can upload images and mark all over them. Particularly, you can upload google earth images for outside festivals, and scale them accordingly.
  • Creating - In the program you can create a diagram based on the size of the room. For example, if you know you have a 40x80 tent, you can make a custom layout and build the whole thing.
  • Setup Templates - These templates make it easy for you to auto fill an entire room with rounds, rectangles or other formations without having to fill them all in individually.

Cons

  • Font Options - When you're typing in the floorplans you can't bold fonts. For example, if you want to label something small you can't really see the font well.
  • Shapes - I find myself using the shapes more often than the pre-fabricated objects. It's hard to tell what they are in the flat layouts. THAT being said, if you use the pre-fabricated objects they look REALLY cool in 3D view!
  • Groupings - Groupings work to an extent, but for example if you put 20 tables in a floorplan individually, and then you "group" them into one, you can't really edit the tables, chairs and width between tables and chairs all at once.
  • How To's - I wish industry standards were mentioned somewhere. For example, if industry standard is to have tables 4ft a part - I wish that was listed in here when you are formatting tables.

Return on Investment

  • I wouldn't necessarily say there's a direct ROI for us, because it's just a necessity to utilize. Overall, our clients love that we have access to a floorplan software, and we use it to its fullest!

Use Cases and Deployment Scope

We use this for diagraming all of our student center spaces in order to ensure compliance with fire code and capacity needs. I've also used Vizio and Powerpoint. But neither can do "scale!"

  • PDF print out a bit cleaner.
  • Allow for more robust collaboration in a shared environment (like a Google Doc)

  • A way to set the front of the room so the chairs and tables face the right direction. This is helpful as we can use meeting spaces in different ways.

I took the free course to gain professional experience and better understanding about spacing, arrangements, and practical designs for conferences and events. The program was easy to follow and I would recommend it to others who are just starting in the field or even those venues that are established. It’s easy to use and the training is purposeful.
