Very much useful product to safely store data. Available by default with Google workspace, so use it.

Use Cases and Deployment Scope

I am using Google Vault at my current organization. Since we are investment advisors, hence daily we need to deal with lots of data. Vault is helping me organize and save all types of data securely. It makes my life easy at the time of audits as data searching is very much easy.

Pros

Searching data is very easy, even you can use complex filters to find what you are looking for.
Exporting only required set of data is easy.
Since Vault is by default included with Google Workspace hence cost effective.

Cons

Exporting Chats in different format can be improvised
Sometimes mail exporting takes too much time even for small number of emails.
Help documents are very boring instead can provide short videos on various help/understanding topics.

Likelihood to Recommend

If you are in a domain where data compliances are strict, this product is a must-have. At the time of audits, you may need data even from archived emails. For less data-generating companies not much useful.

There are lots of compliance problems within my team like sharing confidential content from production to non-production or outside production to maintain compliance Google Vault helps and if there is any breach of compliance it can help track records and starts an investigation procedure where we can retain emails that are pending for investigation.

Pros

Compliance check.
Export emails chats for any breach of compliance of organization.

Cons

Can improve speed though it's good sometimes it a takes hours for export of contents in investigation.

There had been a production confidential details shared by a user to nonproduction which was strictly prohibited by the client so while route keywords search there had been an instance that user shared multiple times production details in non-prod so we started an investigation as a lead and exported all details and communicated with the client which saved from miss-use of client data.

Use Cases and Deployment Scope

For my job to be done, data retention and compliance are the main reasons and areas where we use Google Vault. Audit of the reports is also one of the final steps of the process for us to be able to be laser-focused on matters that are of the most importance. Google Vault also helps our company comply with data retention agreements with clients after the contract ends.

Google Vault provides a huge amount of cloud space therefore we use Google Vault at our organization for archiving data. It has the Google UI which makes it easier to use and navigate. We at our organization use Google Vault to search through data and find strings of emails using keywords.

Pros

Data archiving
Searching through data with the help of keywords
It has a data retention policy which is very useful

Cons

The export tools needs to be improved by leaps and bounds.
Provision to add more strings, and keywords needs to be sorted out.
The pricing is too high and needs to be lowered.

Likelihood to Recommend

Once. my organization gave me a task to find out all the data related to complaints that we had got regarding pricing and video playback. So I used Google Vault with the keywords 'price' and 'playback issue' and a string of emails appeared with all the data related to the issue. IT was a real-time-saver and helped a lot in that situation.

We use it to reliably archive all our email, chat, and Google Drive information. For our organization, it supports our archiving and eDiscovery needs. For us, the search functionality is the best feature as it allows us to find things with ease and allows us to feel confident that we can access our history.

Full PDF download would be helpful.
Exports can take a lot of time.
Better export capabilities

Likelihood to Recommend

Good for searching through your data efficiently. Can not access information of a deleted account. Although it does a great job of searching, there could be much better export options. It is really nice to have the email and document retention be automatic so you feel confident that you aren't losing anything that is important in your history.

A very secure platform that integrates with other Google tools and makes it simple and straightforward to retain data. I use it for emails, team drives, documents, etc. Searching for your data/docs is fairly simple, not the easiest but simple, and allows you to efficiently store it all in one place.

Export feature- took me a while to figure this out to the point where I could be efficient with it.
Searching can be confusing at times- again, takes time until you can get efficient.
Not the best for confidential material.

Likelihood to Recommend

Really helpful to export data from Gmail and others- makes it simple to store it when you don't have enough storage elsewhere. Searching can be confusing and to my knowledge, you aren't able to export data efficiently so it's not the best for that. Can be difficult to pick up from the start, aka I don't think the user interface is the best in my opinion.

We used Google Vault for compliance and Data Discovery solution in our organizations. This was used to retain official communications in Gmail. Privacy and data security is our topmost priority.

Pros

Google Vault is very efficient to retain critical data.
Can be used selectively on single accounts or even for a group.
Easy data export

Cons

Stores data of deleted users.
Dashboard can have more data for effective usage.
Doesn't support Google Calendar data.

Likelihood to Recommend

The feature to create custom roles for Google Vault is very important in our case. It is well crafted for our audits.

Use Cases and Deployment Scope

Google Vault is being used in one of our research sectors, along with G-suite applications. This has provided us with great efficiency in data archiving, and organizing required data for specific clients. We have a highly secure environment for storing confidential data. We have eliminated the burden of storing data in on-premise servers with high-security maintenance.

Pros

Highly secure data storage.
Good amount of features when integrated with G-apps
Has a high storage capacity to store organisation data.

Cons

Budget is a concern for big enterprises.
Technical knowledge is mandatory to use all the features.
Advanced integrations with 3rd party apps is required more for customer satisfaction.

Likelihood to Recommend

It has a free version which can be tried for personal users, from an enterprise point of view, the budget is a little bit high. But as usual with Google services, we can expect the same transparency in the Vault service and is extremely trustworthy to implement in any organization irrespective of any parameters.

We use Google Vault in our organization primarily for archiving and storing important email communications, relevant chats, and other related information wrt to at-risk projects.
The business problem the Google Vault solves is -
1. Provides an easy way to archive emails and chats etc.
2. Helps in eDiscovery of said emails and chats with much ease.

Scope is -
1. Org level - eDiscovery of important at-risk emails, convos, chats, attachments, etc that might be required for reuse or any legal purposes.
2. User level - Works as a backup option for users for their important attachments, chats, etc.

Pros

Archiving - Archiving of emails, chats, etc, Pretty easy to use and have some amazing features wrt to duration, access, etc.
Search - Post archival, Google Vault makes it pretty easy to search for relevant content and eDiscovery.
Auditing - Workspace manager can easily audit user activities. Helps security at the org level.

Cons

Export - Area of improvement for export features. Limited options that could be improved.
Storage - While the storage is easy, it needs to improve on the amount that can be stored. Very less and quite expensive at an org level.
Customer support - Not a very good customer or post-sales support making the learning curve very steep.

Likelihood to Recommend

Well suited -
1. Quick archival esp in Google workspace apps. Very easy to archive and store important conversations, chats, etc.
2. Search and eDiscovery - Very important feature.

Less appropriate -
1. Export - Very limited options and sometimes a cause of concern due to limited options post eDiscovery.
2. Integration - Very limited integration options and leads to the use of multiple alternatives or workspaces.
3. Archival post deletion - No option for this that leads to missing important elements sometimes.
