We use Insightly to manage our outreach, communication, and sales with both current clients and prospective clients. As an account manager, it helps me stay organized with all of my ongoing conversations with current and prospective clients, allows me to pull and access data easily, and strategize for future communication and sales.
Pros
Tracking what stage of the sale cycle a client or prospective client is in.
Tracking all communication with contacts and leads
Tracking data and detailed information of sales
Cons
The auto-fill function in Opportunities often does not pull information from the linked Contact
There are often issues with LinkMatch when adding a prospect from LinkedIn - I will add certain information from the LinkMatch extension on a prospect's LinkedIn page, save it, and then open it in Insightly to find that the information did not save and needs to be added manually.
Likelihood to Recommend
In my experience, Insightly is great for managing accounts and sales with current clients, especially through Opportunities. I appreciate how customizable each of the pages is, so you can create systems that allow you to track the stages of the sale cycle in Opportunities, and stages of the outreach cycle for prospective clients in Leads.
It is an integral part of our company, that let's us track all information for each project that everyone can contribute to. It solved our company's problem of keeping track of all the notes from the different departments to keep everyone updated on how the project is going.
Pros
Tracking Projects
Reading Notes from all departments
Linking emails to the project
Cons
Notes could be color coded per department
Ability to highlight things
More linking

Insightly is great to use to track all of our projects from inception to completion.
We are a building Surveying company which is an industry lacking in management software solutions. Insightly, with its customisable nature, has allowed us to mould a system into place which helps us effectively manage our staff, service delivery, accounts and document controls. Brian has been of specific help with developing our databases to be effective and user friendly. He has taken lots of time to meet with us, scope out our challenges and have them addressed.
Pros
API automations making this efficient
Custom Objects allow us to tailor things to our needs
Cons
The time sheet function currently is not helpful to how our company would need it. We have given feedback to Brian in the mean time.
Likelihood to Recommend
Insightly is highly appropriate when it comes to financial tracking and project management.
We use Insightly to stay on top of partners/potential partners. It makes it easy to keep our contacts up to date, status of the account, etc. Tasks allow us to easily keep track of key check ins and milestones. We used CRMs in the past that were overly complicated and typically lead to headaches.
Pros
Simplicity
Tasks
Pipeline
Cons
Nothing really. It does everything we need it to. Very simple and easy to use.
Likelihood to Recommend
Insightly is a very solid CRM. For our business needs it satisfies all of them. We can easily keep track of the pipeline, stage of particular partners, contacts, etc.
We use Insightly CRM to manage quotes, policies, and documentation. Insightly makes it easy to customize fields, layouts, automation, and more. I can put any pertinent information on the quote/policy screens for easy access, or I can set up a rule where specific fields are hidden until XYZ happens, and that feature makes everything look so much nicer. I need to keep track of many data points, and Insightly's reporting tool is straightforward to use - it does everything I need! Insightly's Help Center is incredible as well. It's easy to navigate if I'm looking for a how-to on a particular item I'd like to implement, and if I can't find the answer, their team is quick to respond to my inquiries. Everyone I've interacted with at Insightly is amiable and knowledgeable.
Pros
Customization. Although there are some limitations, the world is almost your oyster with Insightly's customizations.
Simplicity. I appreciate when policy screens are not loaded with too much going on. Insightly looks clean.
Support. Their help center and the Insightly team is amazing.
Cons
Customization has both positive and negative aspects. Some fields cannot be customized, and I've run into some issues because of this.
Misleading features. I suppose it is the quickest way to describe it. I'm trying to get my team away from having five windows open simultaneously to go through one process, and Insightly's "reply to email" function is misleading. You can't reply to the email; it creates an entirely new email without the previous thread. Due to this feature not working as expected, my team has to return to their inbox and reply to the email.
Likelihood to Recommend
The positive and negative feature lists are why I give Insightly a nine out of ten. A LOT of the features are unique, but the ones lacking affect how I envision the perfect workflow for my team. My job is to create and streamline processes for my team; with AppConnect, I'm hoping a lot of the manual work is taken off their plate so they can focus on the essential things. I really hope Insightly implements a true "reply to email" feature in the future.

We operate a realty brokerage for country clubs and use Insightly to track leads and prospects, send out marketing campaigns, build intro drip email journeys, and set scoring models to track the grades of leads. Furthermore, we use Insightly as a form handler to gather prospect and lead information. Track all activity from our agents and maintain marketing communications.
Pros
Customer service has been great
The dashboards have proven to be very useful and user friendly so far
customization has been good so far as we have a unique model
Cons
technical issues every now and then like embedding a video in an email isn't working
It would be great if a workflow, journey or rule could automatically copy information from one field to another
Our prospects may fill out more than one form but that information will overwrite itself. It would be great to see a historical log off all inputted information

8 because I have very much found a lot of great uses for myself. I left 2 off because I frankly don't have enough experience with other CRMs to provide a full accurate judgment call. We also run a relatively small team and sometimes it's hard to maintain visibility and keep track of things. I would be worried on a bigger team if this would be an issue
Insightly is integral to our business. The sales team uses it to identify prospects, keep track of current customers, and process orders. The production team uses it to keep track of projects. The financial team uses it to identify which products are profitable and what marketing strategies are working. The best part of Insightly is that it is flexible and can be customized to exactly what is needed for each part of your team.
Pros
The reports are robust and easy to build. I can also schedule and email them.
The search bar is powerful and quickly finds the information that is needed.
The automations are easy to build and help to reduce work.
The software is flexible and can be easily customized for each user.
Cons
Automations can be affected by updates.
No ability to link the information on the related tab to the details tab on the projects.

Insightly is perfect for keeping all the information needed in a central place for everyone in the company to access when needed. We use it to keep track of all our customer outreach, order processing, and marketing outreach. Our product development team uses the project pipeline. It is not quite as helpful for financial reporting to the executive team.
My team uses Insightly to track leads and opportunities for existing clients. We have integrated Insightly with our CMS to automatically generate leads and apps based on actions taken by our users onsite.
Pros
I honestly can't think of anything that Insightly does exceptionally well, but the lead flow is the most intuitive and functional in terms of the functionalities.
Cons
Honestly, my predominant feedback is that the whole system is complicated to use and unintuitive.
If I had to narrow it down, I would change the system so the names don't match. We had dozens of records attached because it turns out more than one person can have the same name.
Make it easy to access & share information from record to record. I am constantly re-entering information.
Search doesnt work well, especially in the app. If I enter the email address associated with an opportunity, it doesn't find it.
I can't really accomplish much of anything in the app. Changing filters, bulk updating records. If this is possible, it's impossible to find the functionality.
I feel that Images in email templates are distorted.
Transfer of information between Insightly & Insightly marketing has been unreliable and unintuitive.
Bulk uploads of leads/contacts are extremely difficult. Why would I not be able to match on email? I have to upload a file, wait for the email that gives me the user's Insightly record ID, copy and paste that into a CSV, split text into columns to get the correct record ID, and then re-upload.
Because of the name matching, I find it's tough to identify and correct duplicate records.
Admin updates are hard to make-- I feel they are unintuitive to find where the record inputs are and where to update them.
My team manages vendor communication to over 3,000 accounts. We use Insightly to store our account data, automate tasking, and send marketing emails and sales pipelines.
Pros
Stores the data that we have manually entered.
The customer service team has been helpful with troubleshooting.
Cons
I feel a lot of the processes are overly complicated or require in-depth troubleshooting, specifically with App Connect.
In my opinion, Insightly is not intuitive. After being familiar with the gold-standard CRM, Salesforce, it's frustrating to use Unsightly, which feels far behind its technology.
Fields in organizations are not easily customizable, which creates a lot of friction.
Likelihood to Recommend
In my experience, Insightly is not an intuitive CRM. To integrate with the other systems used at my company it requires resources across the sales, production, engineering and analytics teams. Many of the functionality provided by Insightly CRM are cumbersome and inefficient.
