We use Notion to manage our client processes. It allows us to organize each client's workflow by mapping out the necessary tasks and their respective deadlines. We can see what needs to be done for each client, whether any tasks are overdue, and organize ourselves to ensure good service and smooth progress for every case. Notion also enables effective self-management of time and tasks, allowing team members to keep track of everything, avoid forgetting important items, and increase both personal and project productivity.

Notion is primarily used for personal note taking and documentation. This could be for meeting minutes, project planning or just general day to day notes. Typically mostly for things that don't require formal documentation that is to be distributed.
It is easily accessible across various devices (desktop/ mobile), which makes it ideal for moments that require quick access.

Cons

Sometimes it relies too heavily on shortcuts for formatting, which can make it hard if you don't know / recall them.
'space' for AI commands is a bit aggressive and I often end up accidentally triggering it when I don't intend to.

Likelihood to Recommend

Notion is really well suited for those moments where you just need something to quickly document your thoughts.
I often have a single page that I use as sort of a continual notebook that I can look back if needed.
I also use it for documenting specific events, like meeting notes, training courses or a scratchpad for a specific project / topic.

It is less appropriate for formalised documentation or situations where you would want to publish / share a document around.

As part of a legal team, I personally use Notion to organize internal legal documentation, maintain case trackers, and create structured repositories for research memos. More than any one else, I use Notion as my personal tracker for tasks and timesheet.
Rest of the team also uses it, but not nearly to my extent.

Pros

Easy to collect meeting notes and organize and categorize them
DD checklists for reference
Knowledge management - research memos, sources

Cons

Task and time tracking - slow app, time tracking is difficult to execute.
No granular access control (like view-only for external counsel, or restricted edit access per section)
We primarily work on office suite, but Notion does a decent job in collaboration. But it offers a lot less control over formatting like office does.
Very limited export options for documents.

Likelihood to Recommend

It is incredibly helpful for internal team organization and some level of cross-functional collaboration. But I would not rely on it for secure legal document storage or complex contract lifecycle management. Works well as a lightweight legal wiki or project hub. Mostly for very small teams or personal use.

I use Notion with my research team for 1.) Organizing tasks and responsibilities for collaborative writing of funding proposals; 2.) Keeping an overview of the team's current and past projects; 3.) Collaborating on developing research methodologies with external collaborators (guests); 4.) Organising deliverables and keeping track of meeting notes as part of a startup incubator I am taking part in; and 5.) Organising literature for my PhD. Notion allows us to address the key challenge in our research work – managing who's responsible for what and keeping track of the progress.

We mostly make use of the Gallery view in the pages and subpages, as well as the drop-down menus, preferably with tagging so that the relevant persons can easily read what's needed.

The copy-pasting of text from and to software, e.g. Word, Pages, etc. should be improved.

People mostly appreciate the interoperability in terms of embedding other software but for those only working with texts and collaborative writing, it is a nightmare. Not very interoperable. It's excellent for organization, I work in a company with information products so it's essential when it's time to launch something, or even when it's not, to help with the organization of what I need to do, the moment, the deadline I have, so I just have to say that I love using the platform, it's perfect for both work and personal life, I also organize myself personally through it, with objectives that I need to achieve! For example: it can't be used as a heavy-duty company management system (like logistics), nor as a team messaging app (like Slack), much less for more professional financial control or a CRM full of automations. That's when it gets complicated. In short: Notion is great for organizing ideas and projects, but it's no substitute for more specific tools when things get more complex.

As head of operations, I organized the company's entire control through Notion. We use it to organize tasks, sectors, pipelines, customer cases, and more. Basically, Notion is a Lego that we can create as we wish. In addition, we use the visualizations for timelines, planning, viewing results, monitoring customer stages, defining projects, and organizing teams. There is also the possibility of creating customized formulas with dependencies on other columns, which is very useful for the company I work for.

Each team has a page entitled their "team space" with their employees, ongoing project board, calendars for their ongoing projects etc. We also use it as an FAQ hub where we can all find answers to questions. We even have a page for reporting the lunch menu for the week. It helps to stop us to keep up to date on our colleagues work and stop working in silos.
