I mostly used Okta for multi-factor authentication (MFA), wherein after logging in through email and password in order to provide more security Okta helps to enforce more security by connecting your mobile device to authentic that its you through signing in using a number or a group of numbers which are meant for a specific user.

For my scenario whenever a new user used to get added within the team he/she was added to the Okta system based on role based access the email of that person. Also its is easy to add or remove users through Okta rather than doing long procedures. After adding the person had to register his number as well that enabled MFA for better security.

It provides a single point of management for user identities, allows us to utilize SSO user groups to access applications easily, and we particularly appreciate the ability to enforce consistent password policies that have led to a significantly increased operational efficiency, a stronger security posture, and a much simpler, more scalable access management experience.

The initial setup, especially migrating existing users and devices requires a bit of planning.

At [...], we use Okta for secure identity and access management. It centralizes authentication, enabling employees to access multiple applications with a single login. It helps manage user accounts efficiently, especially when onboarding or offboarding. Okta make sure we secure password storage, reduces the risk of unauthorized access, and streamlines IT processes across the organization.

It's simplies password storage
It's quick to pull up the password prefill option
I like this it has an option for personal passwords and separates from the business side.

Cons

When it comes to Macs it easier to bypass and let MAC/Google prefill. This defeats the purpose but I'm sure users do it when they are limited on time.
The dashboard can be overwhelming for new users. Some settings are buried within submenus

We use Okta for single sign-on (SSO) with Google Workspace. OKTA syncs with Workspace, and with that, we were able to activate MFA for all our email accounts. With password policies and application scope creation, we can use the OKTA platform for multiple services. We have been using it for 8 years now.

Pros

Has MFA capabilities for Google Workspace.
Sync with my AD for SSO with Citrix.
There are advanced access security features.

Cons

OKTA could have more complete dashboards, with more access statistics.
OKTA could evolve further in its integration function between security tools.
Reports could be more complete and intuitive.

Likelihood to Recommend

OKTA is a good fit for both basic and advanced MFA, with SSO for primary tech services, as well as physical key integrations and Active Directory synchronization policies, making access management significantly easier. Use Cases and Deployment Scope

Since our company requires multi-factor authentication, I use Okta Verify whenever I log into work systems. It’s a security tool that confirms my identity by having me enter a (very long) password. IT probably sees it as a necessary safeguard to protect company data. From my side, though, it’s just one more step between me and getting things done as from an end user perspective, it gets in the way--a lot. Needless to say it's not my favorite thing in the world and is the most cumbersome of all authentication tools I've ever used.

Pros

It adds an extra layer of protection by requiring a second form of authentication.
You can log in with it regardless of device type.

Cons

Tons of issues. My IT team has been trying to set up a new MacBook for me for days without success, even a full hard drive wipe and OS reset -- it keeps getting stuck on Okta Verify authentication during set up.
Maddening 16-character minimum passwords. Probably doesn't help that my IT team disabled other forms of entry, like fingerprint and key code, but the 16 character password (with follow up step, such as "Is this really you? Select "Yes" or "No) is constant! Ugh, so annoying for me to have to constantly log in with this authenticator all the time. And the name is "Okta FastPass" haha - in my experience, there's nothing fast about it.

In my opinion, the worst and most cumbersome authenticator I've ever had the displeasure of using. Before this we used Microsoft Authenticator without issue for at least a couple years. I'm sure out IT team has a good reason switching to Okta, but from an end user perspective, I think it's awful (awful enough that I'm actually taking the time to write this review).

We use Okta to streamline vendors and enhance security across the organization. Instead of having to log-in to every platform and service individually with separate passwords, we can do that from Okta and integrate 2-factor authentication as well.

Pros

Streamlined Two-Factor Authentication across applications
Enhances productivity by listing all available services accessible to you in one place
Ease of integration vendors, this allows us to use Okta for all applications without having gaps in security

Cons

Some bugs pop up to continually log in, but this happens from time to time
If it could recommend vendors based on applications you are using, that may further maximize the value your organization is getting from each vendor.

I use Okta to use apps assigned to me such as Salesforce, Workday etc. The best thing Okta addresses is we can see and use all the assigned applications to us from a single sign-on and from the single page. I can also use the same apps from my mobile phone browser.

Pros

Single Sign on- This allows us a single sign in for all the assigned apps.
MFA- Multiple ways to secure the sign-in(s).
Deployment- quick deployment without any major requirements.

Cons

I think there's a scope to improve the User interface such as better search functionality.
Customizing options for end user dashboard should be added.
Session cutout is very annoying

Likelihood to Recommend

1. SSO- Users can login only once for all the applications without being login again and again for different applications.

2. Supports Mobile web browsing- User can have the Okta mobile app to access the applications on the mobile phone.
3. Automatic onboarding and deboarding of an employee.

Apart from this, the only less appropriate is I think the pricing, it needs to be pre define especially for small organizations.
