Use Cases and Deployment Scope

We use PaperCut at our Higher ED institution for mobility print, web print, email-to-print, and the follow-me virtual queues. It replaced Pharos for us and was a great idea to. PaperCut has very few issues and usually the issues we do have resolve themselves.

Pros

  • Follow-me virtual queues
  • Web print for students.
  • Mobility print for personal computers on campus.

Cons

  • Better support (for us because we go through a printing company).
  • More streamlined user interface.

Likelihood to Recommend

PaperCut has replaced our pharos system which was a huge project. PaperCut manages all of our printers extremely well and does have lots of options for setting them up the way you want to.

Use Cases and Deployment Scope

PaperCut is used in my organisation for printing services. When sending a print job, we can view what is in line to be printed. We are also able to view the amount of pages we have printed and total 'trees' we have used. It ensures we stay conscious of the environment.

  • Environmentally friendly.
  • History recall.

Cons

  • Not accounting for jobs that did not release.
  • Ensuring that jobs sent through are processed.
  • Greater description of tree size etc for reference.

Likelihood to Recommend

PaperCut is well suited in an environment where paper usage is overdone. In the marketing and advertising industry, lots of paper is wasted due to visual usage like presentations of client show-casings. It is less appropriate for a workplace that only uses digital work rather than any print. Otherwise very useful.

PaperCut: Doesn't Hurt As Bad As You Think

Originally we began to use PaperCut for centralized and confidential printing. Upon implementation we were looking to move towards a more centralized printing model. With large buildings and many staff members, we needed something reliable and easy for users to make the migration as seamless as possible. Our other requirement was confidential/secure printing for our employees that need copies of documents containing personal/confidential information. Both of these use cases were (and continue to be) super easy and reliable. After we used PaperCut for a while we began to look at reporting and scripting to cut printing costs across the board. We implemented the PaperCut desktop application and pushed it out to every user. Each user is now able to see the total cost of what they have printed and the job details thereof. We then targeted certain printers throughout the organization for specific scripts. For example: an overused color printer now displayed a message describing how printing in B&W saves money overall. The user may continue printing in color or they may choose to print in B&W. All of these implementations have been fantastic.

Pros

  • Centralized printing via virtual hold / release queues.
  • Confidential and secure printing via card authentication.
  • Scan to folder/email integration with Active Directory.
  • Printer specific scripting actions give you a ton of options. The canned scripts are super helpful as they are prebuilt and need very little modification.
  • Overall printing reports are very informative.
  • Mobility Print gives you a great solution for printing from Chromebook devices.

Cons

  • Integration with Google Cloud Print never really worked for us.
  • Sometimes the job log reports are hard to follow.
  • The PaperCut application sometimes requires a machine reboot when connection to the print server is lost.

Likelihood to Recommend

PaperCut is a great overall printing solution. Its features are great for any organization trying to move to a paperless or more efficient model. Our users have never really had a problem with figuring out the interface on the copiers or the PaperCut application. The only scenario where this would not be well suited would be a small office environment. It would be overkill.

Effective printing using PaperCut

PaperCut is a print management software that is being used by the entire organization. With close to 3000 employees working across 35 or more sites, PaperCut has been helpful in minimizing the wastage of paper. It helps us view how company resources are being used. Misuse is detectable with this software.

Pros

  • Run reports to view print usage by department, employee, site, etc.
  • Helpful in capturing trends.

Cons

  • Less employee friendly, as they feel like they are being watched.
  • Needs approvals while printing certain documents, hence it leads to employee frustration when they are not able to print right away.

Likelihood to Recommend

PaperCut is useful in scenarios where printers and other office property are being misused tremendously. Or if the organization wants to ration the use of printers and paper to a certain number. In addition to employees, I have seen many universities use this software to keep tabs on papers printed by students. If some student has exhausted the number of copies in his/her account, they can print more pages at an additional cost. It is possible to customize the tool with workflows, additional reviewers, set tabs to the number of paper printed and more. Reports are also easily obtainable.

Use Cases and Deployment Scope

PaperCut is absolutely fantastic in tracking what is printed from an economic standpoint, but also from an environmental standpoint. I know the who, when, where, and what that was printed for my organization. This isn't a "Big Brother" move, but a way to hold people accountable for how often they print, and whether it's really necessary.

Pros

  • Web printing: I can be anywhere and print a document to the printer in the office.
  • Price Per Sheet Transaction: I can load my printer up with $50 at the start of the month, and track how much I'm spending in printing.
  • Computer integration: I have a Mac and my coworker uses a PC. This works flawlessly on both.

Cons

  • The initial set up is a bit of a burden, and isn't truly user-friendly.
  • The web print feature can get hung-up some times and there isn't a way to cancel when a job is "processing."
  • The MacBook top bar item isn't always stable.

Likelihood to Recommend

I love PaperCut, and would recommend it to any organization that wants to keep track of how often they print an item, or for larger areas that are shared workspaces. Multiple companies can be set up to utilize a single printer, and no one company gets stuck with paying the fees.
