I use Roomzilla to book rooms at the CIC whenever I have a meeting, when colleagues are visiting, or just when I need a quiet space to focus and get work done. It makes it super easy to see what rooms are free and reserve one in just a few clicks. I like that I can quickly find a spot that fits what I need (for a one-on-one or just some solo time away from the noise). It solves the hassle of not knowing where to go or worrying if a room is already taken.
Pros
Showing room availability
Self-serve
Update in real time (no double booking)
Email us our reservation detail
Cons
Sometimes a room looks available in Roomzilla, but someone is already using it without booking. It would be great if there were a way to mark it as “occupied” or detect unofficial use.
Right now I can only book a room for up to 240 minutes. I’d love to have the option to reserve it for the full day if needed.
A “running late” feature would be super helpful. If I’m just 5–10 minutes behind, I’d like to be able to click something to keep my reservation from getting canceled.

Roomzilla works really well when I need to quickly book a room for a meeting, a last-minute catch-up, or just to have a quiet space to focus. It’s super useful when coworkers are visiting and we want a spot to work together without any hassle. But it’s a bit less helpful when someone takes a room without booking it—it still shows as available, which can be confusing. Also, for longer work sessions or full-day planning, it’s limiting that I can’t reserve a room for more than 240 minutes. A bit more flexibility would make it even better.
We have limited space in our open space office so Roomzilla helps us find dedicated space for our work. The application is easy to use both the web application and the iOS version. It's easy to book in advance and set reoccurring times to use the space. The reminder notification also facilitates folks when their session is done.
Pros
I am able to review available rooms in my office from anywhere.
Easy to sign up with enough details for other folks to know what I am doing.
Cons
Roomzilla on the mobile app can be a bit clunky.
Likelihood to Recommend
Best suited for reservation for limited spaces and lots of staff wanting personal/dedicated space. Less appropriate if there is an abundance of space.
We use Roomzilla to schedule and book conference rooms and/or phone booths, both within our private office and within common areas of the building at large. This allows us to avoid double-booking, and to ensure that we have a place to hold meetings of various sizes. Roomzilla allows you to see how many seats a conference room can accommodate as well as what type of AV equipment is available, etc., so we can ensure that we aren't missing necessary resources.
Pros
Shows how many seats the room accommodates, what AV equipment it has, and a picture.
Allows you to check in or end the meeting early.
Suggests conference rooms for particular times, based on what's already been booked.
Can integrate with Google Calendar.
Cons
Relies on iPads, which sometimes break or get logged out.
Can only check-in 5 minutes early. If the room is available it would be helpful to be able to check-in earlier.
Likelihood to Recommend
Roomzilla is helpful for both my office which has 9 conference rooms, as well as our building as a whole which has many common areas and about 40 rooms available for booking. It can also be used for less traditional spaces such as phone booths, treadmill desks, outdoor table areas, etc. It can be used for recurring meetings as well as for one-off meetings to easily schedule an available room or area according to your needs, such as the number of people, projector availability, whiteboard, etc.
It is used across the whole organization to reserve/manage room reservations for meetings or personal use. It is integrated with smart devices which are on the entrance of each room for user's commodity but also you can access it from the website. Before we were using a shared spreadsheet so this was a big upgrade.
Pros
Reserve rooms for meetings or personal use.
Create recurrent reservations.
Be accessible anywhere and anytime.
Cons
I don't like that you can't reserve a room with only one participant. Sometimes we require the room to make a remote call/meeting and it's only one participant, so that should be taken into account.
Likelihood to Recommend
Is well suited when there is a large number of participants with shared rooms for meetings or personal use.
The entire organization uses Roomzilla to reserve meeting room space for 1:1s, team meetings, and larger group meetings. Before we used Roomzilla, there was no streamlined way to reserve rooms, so often, people would double book rooms or not know if there was space to meet with someone outside of their desk.
Pros
Reserve rooms easily on their website.
Add room reservations to Outlook invites.
Cons
When someone cancels a recurring or one-time meeting on Outlook, the reservation isn't removed on Roomzilla. It creates a two-step process for users when they reschedule meetings via Outlook.
Likelihood to Recommend
Well Suited - When you have multiple people trying to use multiple shared meeting spaces. - When you want to book meeting rooms while scheduling meetings on Outlook. - If you are open to having technology support your organization's efficiency.
Less Appropriate - If iPads or other technology may be easily stolen. - If there is inconsistent internet or the iPads may go offline often.
We schedule meetings as a team and with partners. We work in a co-work space where there is often a lot of spaces available but sometimes many meetings from other companies already set up. Roomzilla allows us to pre-schedule our meeting so we can be sure to have spaces to meet.
Pros
maps
calendar
UI
Cons
Check-in - sometimes I miss the 10 min window
Likelihood to Recommend
great for recurring meetings on a weekly basis when we don't have to schedule it every week - automatic feature is great.
ALso like how it describves the different features each room has with photo.
Filters for choosing words is great too as we can see what tech is available in each room
I am a program manager working in a busy office building with tons of shared space. I use Roomzilla to reserve space so that I always have the room I want to work in, before I get to the office. This platform allows me to login, search available rooms and make sure I have the room I need when I need it. I can also view the rooms ahead of time to make sure it has all the features I need.
Pros
Shows available space
Shows the breakdown of each room
Provides a picture of the space
Sends reminders to check-in/remove your reservation.
Cons
The mobile feature needs work.
Likelihood to Recommend
I had a client meeting last week. I was able to search for rooms near the elevator based on size and amenities. Viewing the pictures allowed me to see if it was a sunny space which I find to help when having tough conversations.
We use Roomzilla at our co-working space anytime we need to book a conference room. It's really easy to see which conference room is available based on what we need, whether that be video conferencing capabilities or just a small conference room for a quick 1:1. It's offered through the portal that the co-working space uses, so it's pretty seamless to use anytime we need to book a conference room.
Pros
Makes it easy to book a room
Clearly identifies which rooms have technological capabilities
Sends a calendar invite so I can add it to my calendar
Cons
Sometimes I forget to check in the room and I lose the reservation
Likelihood to Recommend
If I know I have a meeting of 6 people and I'm going to need video conferencing capabilities, it's super easy to log on to the portal and figure out which room would be best suited for the meeting that we're going to have.
I use Roomzila as a room booking service. Every time when I need to use a room for a meeting, I go to Roomzilla, where I can easily see which rooms in my space are available, how to navigate to them and most importantly, can safely and easily book them. The service provides a great flexibility which makes it very easy to use.
Pros
Timetable of meeting rooms
Map of the space
Hassle-free booking
Cons
Colouring of rooms on the map
Likelihood to Recommend
It's greatly suited for a day to day business when you need to book a room. It's hard for me to think of a scenario where it is not well suited.

Great tool for shared spaces - coworking/office services. I'm a frequent user in the Warsaw CIC office - app works well. The design is little outdated, but the interface is clear and user friendly. System works without interruptions - sometimes as I click on tablets to confirm the reservation it gets a little laggy, but nothing to worry about in the long run. I'm confident to say I totally recommend it.
Pros
User friendly design
Simplicity
Speed
Cons
Design (update it to 2025 standards)
Working offline
Notifications (as a frequent user I get flooded with them)
Likelihood to Recommend
Well suits: Shared spaces, coworkings, serviced offices
Not appropriate: Small offices, budget solutions (need to provide tablets in rooms require significant investment at the implementation stage)
