Use Cases and Deployment Scope

We primarily use ShareFile to upload and download large files, although we have used it a bit for ad proof approval procedures. Sometimes we need to deliver large printable files which either won't send via email or are very slow and block up email programs. Having ShareFile gives us a way to send them with a quick link.

Pros

Share large files, as the name implies
Give control over access to files
Doesn't "nag" about running out of space unless you upgrade all the time like DropBox does

Cons

Pricing has gone up quite a bit during the time we've used it
The need for increased security has impacted usability - staff more resistant to using it now
The feedback/approval process seemed easier before, not as user friendly as it used to be, so not using it as much anymore

When we have a particularly large ad or job printing file that would "clog up" the email process, using ShareFile is very helpful. It's also useful for particular photographers we work with to upload a batch of photos all at once. Where it doesn't work as well for us is when trying to get clients to make use of a login to access folders. We find them reluctant to take on the learning curve. It works best for us when we just send them a clickable download link, and at most just require a tracking name and email address.

Use Cases and Deployment Scope

I use ShareFile as a Customer Document management and Customer Access portal. It also allows me to securely share large or encrypted files with others outside my organization or customer list. I love the security it provides for everything related to my business and personal needs.

Pros

Secure File Storage and Sharing.
Workflows to get customer/affiliate responses to comments on documents.
I used to have the signature feature initially, but it was removed from the original plan, so I could only use it if I chose to select the higher plan price.
I love the upload notifications and reports on user activity.
The document storage versions are fantastic. I am the only user with Delete privileges, and I love that I can make those selections.
Integrations with Microsoft 365 - FANTASTIC - thank you.

Cons

I would return to using the Right Signature feature if it were less than my Adobe Pro subscription.
If the platform could replace the features in Adobe Pro, I would consolidate to one less subscription to meet my business document management, file sharing, editing, or form completion features, as well as customer/affiliate document signatures with secure encrypted standards that meet IRS requirements.
My firm does not need all the client workflow and onboarding that the accountant plan offers, so I just can't justify the expense for my little firm and me. Some type of Sole employee user business plan pricing for the Accounting Level plan would be nice, but I know I am being unrealistic. I can't afford it.
Citrix had a significant name brand presence that would reassure those you sent documents to sign or documents to download via a link.
When I store specific folders on my computer, it can be scary when the computer link to ShareFile needs to be reset. I have lost entire years' worth of documents because the backup before resetting took too long and would stall or stop before completing the backup. I now limit the locally stored documents so I don't risk losing documents. I would love to see something or learn how to ensure everything added from my file explorer use on desktop is completely uploaded to the ShareFile cloud storage. The emails are to detailed to quickly review what was added, A more streamlined (less detailed) email notification option would help me review what has been uploaded quicker.

Progress ShareFile has continued to provide the security required to be an Accountant who is an IRS E-File servicer security requirement compliant. I am a sole employee in a small business struggling with pricing increases. It is hard to pass on higher prices when my clients do not rely on file storage as much as I do. Some clients (contractors who hate to even touch a computer) have never logged in.

Use Cases and Deployment Scope

I am a fee-only investment adviser, and I send my quarterly reports to my clients via their Progress ShareFile folders. They get a complete report package, including cover letter, software-generated report, my quarterly newsletter, and usually a whitepaper or two about a possible upcoming investment I'll be making for their portfolio.

Use Cases and Deployment Scope

We use Progress ShareFile to share files outside of our company and to remove large attachments from emails. We had several people who would use things like Dropbox and ShareFile gives us a safer, company controlled tool that provides similar functionality.

Pros

It is great for sharing files outside the company. It offers tools to verify that the end user is the person you want to get the files and lets you do things like expire the access to the files.
The Outlook client is great at taking large files that are attached to an email and moves them to Progress ShareFile and sends out a link to the file.
It provides me with a place to store my files and gives me the ability to access those files from anywhere on almost any device.

Cons

The web console is not the most user friendly site to use to get to, and send my files.
We have had users that have not liked the change in workflow to get files from Progress ShareFile when they were used to just clicking on files on an email.
That management of the tools are not the most user friendly. There have been some improvements but keeping up with certs and setting up new users can be more work than expected.

Likelihood to Recommend

Progress ShareFile has been a great tool for sharing files. When you send to outside people they get an easy link to click on to download the needed files. On the sender side you get options to have the person do things logon to get the file, just enter a name and email address, or just click on the link and download.

There are hooks to use other tools to scan for personal information like SSN or credit card numbers. Many of our users use email to send and store emails.

They have found that clicking on a link to get a file adds a bit of complexity but many have learned how to adjust to the change.

We use ShareFile to securely share confidential documents, as well as a secure repository for external third party people or companies. It's also great to avoid sending large files over emails, as this product replace the actual file for a link do download the shared document.
Something that has been an issue is that we can't use a shared email account, that would be beneficial.

pros- It's great to reduce the usage/taxing of the exchange server storage, as it let you replace any document for a link.
It's great when sending confidential and/or time sensitive docs

cons- Users may find hard to have to download the file (or get to different screens for preview)

We use ShareFile to store all of our firm's documents for our business management clients & keep everything organized for each client. We have folders for each client personally & each of their entities, & within each of those we have subfolders for different document types such as AP, AR, Boookkeeping, Financial Statements, Tax Documents, Contracts, etc.

Use Cases and Deployment Scope

We use it to upload sensitive documents that clients can then download securely. Without it, we would not be able to ensure the security our documents need. I use ShareFile every day, as do all of the other workers. Another feature we use heavily and rely on is the esignature option. That way, clients can sign documents easily.

It's awesome for me, very easy to upload documents, very easy to set up the signature but many clients come back to me and don't know how to use it. Needs to be more user friendly, easier to verify identity and easier to log into for elderly people. Elderly people find it hard to manage with. The buttons needed to be pressed should be really big and in the center of your screen, not just on the bottom.

Use Cases and Deployment Scope

We use ShareFile to create accounts for each of our contractors. We create a client folder and share the folder with the contractor that is assigned to the client. The client can upload documents for our team to review. We keep a folder for internal documents and a folder that the client can access. I also create a private folder for the owner of the business and myself for all business-related files that are private to him and myself. We use the signatures feature to send work proposals to new clients to sign which is stored in their client internal folder. We use the encrypted email to send anything that may have sensitive info or HIPAA info. We will add the customer portal link to our website so our clients can easily log into their folders. ShareFile allowed us to go from using 3 apps to 1 which allowed us to reduce some of our overhead.

Encrypted email- easy to use for the sender and receiver.
Custom branding- allowed branding so customers can see they are in our company ShareFile account.
Access- Easy to select who has access to what
People- can easily see a list of people that have accounts

I have no feedback in this area just yet
Looking into templates and integrations more- not easy to see the benefit at first glance.

Well suited for our needs. Allows us to give access to a branded folder to our clients that they can upload documents our team needs access to. We can control who has access to what files and what each contractor can see.

ShareFile is a great alternative to Docusign as it easily allows individuals to sign documents with a simple five digit passcode (so secure but not credit check secure). Also an easy way to provide documents much like google drive or one box. I've used it for years without any issues.

It is a good software. Prices can be a bit high but for ease of use and for being a cloud based SaaS I think it is highly functional and meets its primary intended purpose as a secure document system that allows transfer of data. I definitely recommend the software for evaluation.

We use ShareFile to securely send tax documents to clients for signature, and to send copies for their files as well.

We find it to be an easy to use product, even for our less tech-savvy clients, who seem to be perfectly capable of finding the correct forms, signing, and then having them automatically returned to us.
