Use Cases and Deployment Scope

I use Trello every day, and have for about 15 years now! My organization hasn't adopted it, but personally, I have done so. I use it for my volunteer projects, board roles and work. I have 3 workspaces I operate on, and within each workspace is its own board.

Pros

  • In particular, Trello does a great job of offering a clear checklist option. I love being able to physically check things off of a list and archive as I go.
  • Trello has excellent collaboration features - you can tag others in comments and have an ongoing chain of communication within specific cards or you can add "members" to tabs so they can follow progress.
  • I specifically love the template options because I can create a template for certain types of events. When i'm ready to start a new event, I can just copy the template and have all of my to do's in one place.
  • There's also a label system for cards, which is great! You can categorize cards based on needs such as: requires follow up, ongoing or just notes.

Cons

  • I wish that you could click a button and create different versions of the charts you created, for example, if my board could turn into a gantt chart!
  • For my use case (events), it is sometimes difficult to see the overall event picture with Trello. It's less of a project management tool (in my opinion) and more for tasks.

Likelihood to Recommend

For teams or individuals with lots of individual tasks/details to track, Trello is perfect! It basically removes the need for a paper checklist.

For those that need an overall project management tool that requires less tasks and more overarching goals, collaboration amongst various teams, and gantt charts I would suggest Monday.com.

Our team mainly uses Trello for greater efficiency in our personal productivity. We had originally used it as a team-wide checklist for onboarding purposes, but we realized that having the onboarding experience spread between two different tools (Miro and Trello) was more difficult to manage and did not create the most streamlined onboarding workflow or experience for the manager or the new hire. Thus, we no longer use Trello for that purpose and now just use it individually for our personal workflows.

Cons

  • Long task lists in a given column can be difficult to manage; cards at the bottom of a list can get easily forgotten
  • For long lists in a given column, getting reminders would be helpful - I was never able to get Trello to send me reminders, which made the tool cumbersome (and less valuable) when there were many cards to keep track of.
  • My manager would often tag me on a given card in his Trello board, and I would receive an email notification that he had done so; but the email notification never stated what the card was (title or details), so I never knew what I was being tagged on. This made the email notifications absolutely unhelpful.

Likelihood to Recommend

Trello can be especially useful for project management purposes where an individual needs to keep track of multiple moving pieces within a single (or multiple) projects at once. When additional individuals are collaborating on a given project, I find that the usefulness and value of Trello decreases. I believe this is because when multiple individuals are collaborating, they are usually doing so in ANOTHER tool (e.g. Miro, MS Teams, etc.) and those tools usually have some type of Kanban tool built into them, and it's usually easier to use those kanban tools to stay within the same workflow than working between multiple tools (e.g. MS Teams + Trello, Miro+Trello). In my first example of our onboarding experience, we ended up using the kanban widget that exists within the Miro board instead of spreading the onboarding experience across Miro and Trello.

Our company uses Trello for our onboarding process. We have found that this platform helps give new hires a better sense of direction and is able to track progress. They find it useful to be able to check off tasks as they go.

Well, for a while, we used Trello as our primary platform for organizing work, collaborative boards, and organizational modules. During these three years of use, while it was very helpful, we noticed that, given the size of the organization, it was starting to become too small for the use we required. However, I can say that Trello is an excellent first tool and that using it definitely helps a lot.

  • Add apps and extensions to the platform
  • A good card system

Cons

  • Overall site performance
  • Improve security. During the time we were using the platform, it crashed several times, impacting our daily operations, leaving us with no way to access it offline (the phone app was an option, but this, too, tended to fail).
  • Improve access. Since Atlassian acquired Trello, in our experience, creating an account or simply accessing boards has become more complicated than before, using just two clicks.

Likelihood to Recommend

If you're an entrepreneur with a small business or a digital artist with a lot of commissions, I think Trello would help you a lot in your daily work. It's a platform that's very simple and intuitive at its core. It allows you to see how much progress you're making, how much work you're doing, how long it takes you to complete an order, or simply monitor the tasks you complete each day.

I use Trello almost every single day. Without Trello, it would be easy to have messages related to new clients or to-do items laying all over the place, but Trello gives each objective and business item a home. Its layout is engaging, its cards practical, and its features widespread. <div>

</div><div>I particularly enjoy the time tracking feature, even though my company doesn’t utilize it as often. I think it’s a wonderful solution to providing accountability and bolster data on how long certain tasks take certain people </div>

  • It’d be nice for an admin to put a limit of how many cards are in one card overall. It can get aesthetically overwhelming at times.
  • I don’t love how Trello automatically sends you an email for every piece of communication sent via Trello. I’m already checking it myself daily, and sometimes have to sort through double the information bc of the emails. I also realize this is a feature I could turn off myself though.

Within my company, we are regularly onboarding new clients, who are having their very first experience with our company and what our company can offer. But, before we can get the new clients launched, we often have a lengthy to-do list to get through in order to prepare all new materials for the new clients. <div>

</div><div>Trello has proven to be the most helpful resource for client onboarding, where we often have 10 to 20 objectives within a single card detailing what needs to be done and when it needs to be done in order to get the client running. </div>

We used Trello to organize team coordination for evaluating new product rollouts and post-rollout assessments. We found it helpful to keep everyone synchronized using the same data. It was also more efficient to have a single location to find and access our team. Trello was cost-effective and easier to use than Microsoft products and a little better than Google products.

A colleague at the head office recommended Trello to me, and I used Trello to monitor the development of new learning resources. I started to use it as part of my personal productivity routine. It helped me keep track of my daily and weekly To-Do lists and was a key component of my Weekly Review process. I created a series of personal Kanban boards. The Card format of Trello lends itself to this approach. As a visual thinker, the colour coding of the cards helped me understand what needed to be done and what type of task it was. Finally, the physical movement of cards from 'To Do' to my weekly plan and then to 'Done' was helpful and satisfying.

Pros

  • Allows you to create cards for specific tasks.
  • Allows you to colour code cards for different types of task.
  • Makes it easy to create a functioning Kanban Board.

Cons

  • I use colour coding a lot so I would like a wider range of colour options.
  • Also as a visual thinker I would like to be able to easily add images to cards.
  • I would like to be able to attach a wider range of file formats to cards.

Likelihood to Recommend

Trello is great for enhancing personal productivity. I use the Kanban approach, but it can also be used to monitor progress with projects, either as an individual or by sharing Trello Boards within a team.

I use Trello for my project Management. I have one team working remotely that handles my sales and marketing whereas I handle the development team inhouse. So collaboration between sales and development and management of project with clear communication involves Trello and tracking the project status with daily updates. It also helps me in resource management as well.

  • Trello Lacks comprehensive reporting. Even with Paid features these things are missing
  • Trello needs to cover the dependencies on complex projects
  • Updates part works as comments they just need to be a bit better over there (Recommendation only. Not that its wrong)
  • The new feature of marking a project and completed is weird. Since we can just move the card to done. Tracking just a tick mark is never a requirement

Likelihood to Recommend

For me, I like the notifications and arrangements of the lists part. I can easily track what is going on with which project. With basic Trello layout, I had to create some SOPs just so people on my team don't use it the wrong way, But it would be helpful if we can lock those SOPs down so there are no mistakes for the new users otherwise every new person is to be taught how to use it.

I use Trello to organize my tasks and group them into categories for each client. Previously, I used my notes app to write out lists of what I needed to do, but it was difficult to distinguish which task was for which client. Trello has fixed that for me and has made it easy for me to organize my tasks.

In our musical instrument e-commerce business, Trello has helped us fill in so many gaps in communication that would naturally occur during day-to-day operations as well as longer-term projects. Whenever an order comes into our store, we use Trello to create and track the fulfillment of that order, as well as to delegate the responsibility of fulfilling it to someone on the team. We also organize goals and targets for business projects utilizing Trello's great organizational features!

  • Encourages clear communication between an entire team, with the shared board system
  • logs all activity in an easily traceable format

Trello is great for cross-team communication and intra-team organization. It's simple to get setup, with flexible tools that give businesses control over how to make Trello work the best for them. It is an amazing platform for operations tracking, project management, and even organizing customer service requests for a smaller business.
