Use Cases and Deployment Scope

We use it for "Medium" sized workflows where we need to set up the creation or update of records in other systems. In some flows, we touch as many as six applications and include up to 20 custom functions. We have automation that starts from our CRM and creates or updates accounts in our internal system after we sign up a customer. We also have a function that helps us enhance customer support by automatically billing for replacement parts, scheduling a support technician for onsite repair through Zoho FSM, and notifying our customers every step of the way. Notifications include ordering parts, technician being scheduled, arrival times, and completion.

Pros

  • Lots of Pre-made integrations with existing Zoho and 3rd party apps.
  • It is able to create custom functions where needed.
  • History with the ability to rerun functions.

Cons

  • Some history is missing, and not all error reporting is comprehensive enough on more complex functions.
  • The ability to run tests on custom functions exists in other apps like CRM.
  • Ability to create custom connections for OAuth like in the CRM application.

Likelihood to Recommend

For small—to medium-sized connections between different applications, Zoho Flow is quick and easy to set up and test. However, as a Flow becomes more complicated with multiple connections and decisions, it becomes more difficult to track errors and faults and manage changes. Some of this is due to the history not being detailed enough, and some is just the UI, where you can't zoom in and out and clearly see connecting lines for flows.

Use Cases and Deployment Scope

We use Zoho Flow to connect our other Zoho apps to run automation and workflows. Zoho is a highly customizable solution and any of their apps have "developer" capabilities, however, for a non-developer, Zoho Flow is a perfect option. For example, we can configure a Zoho Flow for when an entry is made into a Zoho Creator record an invoice is automatically created in Zoho Books. We've been very satisfied with this solution.

Pros

  • Works with all other Zoho apps to connect them together and share data
  • User interface and dashboard are nice. Gives you a detailed look into flow history and/or audit of your flows
  • The ability to set logic responses and incorporate custom functions makes the app even more powerful

Cons

  • A deeper resources section, with more "how-to" videos
  • More user functionality to tell you when an app fails, and not just after failing 3 or 5 times in a row.
  • Maybe add some scenario flows connecting two apps with examples of how the flow works and benefits a user.

Likelihood to Recommend

Zoho Flow helps us greatly in connecting other Zoho apps. We use Flow to connect Zoho Creator with Zoho Books so an invoice is created when a record is entered into Zoho Creator. We use Zoho Flow when certain fields containing data in Zoho CRM to send that data over to the Zoho Creator record. We use it to add a contact from the Zoho Creator record to a list in Zoho Campaigns. Zoho Flow has proved very worthwhile.
