It's a good space to have a high level overview of the organization (especially Org view). Places for improvement include extra levels of complexity when you need to click on the person and you are navigated to the pop-up that is hard to use and only one pop up can be used at a time. I wish there wasn't so much of clicking in and clicking out.

I'd say if you had someone who wasn't educated on how Payroll should be setup and function OnPay is less ideal. But even then you've got things so well setup and cost efficient, they could afford to put some focus on training. In my mind I imagine OnPay is the best solution for small to mid, even early large, company Payroll processing. We're a small company so I'm unaware of the options provided to streamline importing of large group payrolls, but that might be an area where the interface could provide challenges.

  • Organization Structure: Clean and simple visual organization structure to understand the business fairly quickly.
  • Onboarding: Great tool for utilizing their questionnaire and presentation tools.
  • Employee info: Keeping all employee/workforce individual info (i.e. t-shirt sizes).

  • It is easy to inactivate employees who leave the company.
  • All quarterly and annual reports are completed and filed on a timely basis.
  • Employees have direct online access to their paycheck as well as their W-2.

  • Clicks must be specific to file, can't highlight and open file.
  • Too many add-ons in the system.

  • I would like to enter some payroll information in advance of the current payroll runs
  • Adding and changing administrators was a bit cumbersome and took several days
  • It works fine for a small number of people being paid if they can be seen on one screen but it might be cumbersome with more than about 10 people. Probably needs a better or different procedure with more people.

We have used OnPay for a few years now and we do continue to renew our annual use of OnPay. We are only a small organization and although OnPay provides a lot of additional services that larger organizations might ind useful, OnPay still meets our limited requirements of running bi-weekly payroll and submitting our quarterly state and federal tax documents, and at a price that we still find affordable.

Usability
To use this system you need to buy several add-ons. If add-ons do not fit your business model you will have to access platforms from different companies. The system is not easy to use for onboarding. Candidates cannot change and update settings. To use the system a person must click in the correct spots. If not it leads you someplace else. Then you have to start clicking all over again.

OnPay is very easy to use. The computer interface is setup very well. You can quickly add people, enter your Payroll, print reports, etc. If your Payroll doesn't change from pay period to pay period (example, salaried employees) it takes mere seconds to enter in your Payroll.

The support received during the product implementation was good, but once you move out of that stage you have to reach out to the support team through a chat type of tool and often have to wait for a response.

I've only had to call a couple of times, and each time the customer service rep is extremely thorough and helpful. I've never had the experience, like I do with some other companies, of feeling stressed or irritated with the reps. They are competent, educated, and easily walk me through the system

OnPay is less expensive and offered the ease of managing a restaurant payroll that was better in my opinion than When I Work. My experience when evaluating all of the payroll products that I felt the company could afford was that OnPay had a superior staff of professionals who knew their product and could explain how to use it most clearly.

  • We were able to get the system implemented very quickly, which was of great importance to us as we were undergoing rapid growth.
  • The system has helped us keep and stay organized and allowed team members to work collaboratively to get tasks done. Many of these tasks were previously managed with various spreadsheets and other trackers that were quickly becoming unmanageable.
  • Sapling has greatly decreased the time we needed to onboard and employee and has prevented many errors.
