Use Cases and Deployment Scope

We use Expensify to track all of our driven miles and travel/on the road purchases. This process helps to streamline reimbursement for those in the field while they are visiting multiple sites, booking flights, and anything travel related. The scope of my Expensify usage comes from tracking meals and day to day activities to help my company not only reimburse employees but also track effectiveness of spending.

Pros

Expensify is really good at providing a simple system to log your expenses.
Expensify does a great job at identifying possible reimbursement denials like duplicate expenses and errors in log.
Expensify stays up to date on reimbursement coding like those used for gas usage by mile

Cons

Expensify can be less strict about duplicate logs as sometimes you get the same meal twice when traveling and it shows it as an error.
Expensify could showcase possible location services like Motus does for gas consumption logging.
Expensify could be better about telling me when my reimbursement should be expected.

Likelihood to Recommend

I travel a lot where sometimes I will spend $4000 a week so it is great to get it logged with ease so that I can quickly get reimbursed. This suits my work/remote work situation well as I am not always able to utilize company funds as I may be a whole state or timezone away.

Use Cases and Deployment Scope

We use Expensify for, tracking, submitting, and approving expenses. The automation features and smart suggestions are fantastic time savers. The automatic date recognition can be a bit wonky when submitting weirdly-formatted receipts but it still saves more time and effort than not. I enjoy the degree of control and transparency Expensify comes with while retaining its no-stress usability to make expense management and tracking a breeze. Would never go back to my previous systems after using this.

Its intuitive interface makes tracking, submitting, and approving expenses effortless.
Expensify’s mobile app enhances convenience by allowing users to capture and submit expenses on the go.

Cons

The OCR functionality can be a bit wonky for recognizing dates
The software could use a better internal understanding of what to look for on submitted images for single-expense receipts versus multiple-expense receipts

If you have users who need to submit and track expenses for reimbursement, and users who need to track and approve or follow-up on reimbursement requests, Expensify is going to take a lot of stress out of that process for everyone by making it quick to learn and easy to to.

Use Cases and Deployment Scope

We use Expensify to reimburse our work related expenses. I've used it for about a year now, and it's very easy to use so far. The report/expense feature could be a little better, but all things considered, it is one of the best expense apps that I have used. It seems to forward and approve the expenses relatively quickly, which shows that my finance department thinks that it's easy to use.

It's just really easy to use, upload a receipt, click a few boxes, and boom, you're finished. I'm not sure how much easier Expensify could make it. Very drag and drop, which again enables ease of use. I'm not sure how much more clear I can make it, but the application is very, very easy to use. Submitting expenses can be super annoying, not anymore!

Use Cases and Deployment Scope

Expensive helps me solve the issue of organizing all my tickets from my job as a Tour director for EF. I collect all purchase tickets and upload them to expensify in specific categories —pre-set by my company— to arrange them by day, quantity, type of expense, under specific reports, etc. These way there is transparency in this easy to use platform.

Practical (on the go)
Great organization

Cons

Sometimes it gets frozen and I lose the info. But it has been getting better
UI could improve a little to make it even easier to use

For freelancers in Spain who need to justify their expenses and prepared reports for the Spanish IRS I think it’s a good tool. Otherwise for people like me who work as a freelance and need to justify their expenses to the hiring company.

Use Cases and Deployment Scope

I use Expensify to quickly and easily log my monthly sales expenses. The software is incredibly simple to learn and easy to use. I can confidently recommend using Expensify for tracking and submitting expenses related to sales. I also appreciate the simplicity of the UI and how fast it is to navigate.

Cons

Nothing much really, It's intuitive, its well designed and visually appealing.

I've used Expensify to get reimbursed for my marketing expenses. I have gone out and met with our prospects, come back to the office, and submitted my receipts to my Expensify account. The process was very easy and quick, and I received my reimbursements back very quickly.

I only used Expensify briefly at my current company and I loved how straightforward it was to get payments uploaded and approved. All I had to do was provide the payment details and share a receipt for it and that was pretty much it. It didn't bog me down with information that wasn't needed and just did the job really well with minimal effort.

Cons

the receipt scanning feature was hit or miss for me but mostly worked
Besides that there is nothing else i can think of

I buy books and often enrolled to courses for self improvement and to help with my role which needed to be reimbursed. All I had to do was get the needed approvals and Expensify did the rest.

Expensify is a good app for my work costs.When I have a business trip, it helps me get money back for hotel, flights or food.I also use it for my trainings. I get money for the courses and for my books, so I can learn new things for my job.I can also get money for things like a headset or a good mouse.

I use Expensify for business trips, courses, and things for my desk. For me, it works great and I have no issues.

Use Cases and Deployment Scope

Our company uses American Express for our purchases, and cards are issued to certain team members. Expensify is integrated with our company Amercian Express accounts. The bills land in Expensify after the charges are completed. Once the charges are available in Expensify, I reconcile the charges with the receipts from the cards.

Pros

Ease of finding the transactions
Not having to look for the monthly American Express statement
Keeping totals as current as possible

Cons

I think the charges should show up instantaneously
Some of the charges I see are combined
Some of the charges cannot be matched to the receipt

When you need to reconcile the statements of a credit card/Amex, the charges take a couple of days to show up and if you enter the transactions manually the transaction is reflected twice, and we do not have the ability to erase the transactions. And some charges are combined

Use Cases and Deployment Scope

I have used Expensify for years to track my business expenses. I scan all my work receipts into the app, and add mileage on a daily basis. End of month and annual reports are a breeze with a quick report showing how many miles driven. Expense reports are dialed in easily with receipts attached which can be sent into my company easily.

Use Cases and Deployment Scope

I use Expensify for personal expense reports and to manage team expense reports and team purchases on a corporate card. We do reconciliation monthly for thousands of dollars of expenses and it helps to identify purchases and add tags and labels by department and business purpose. It is easy to add receipts and add mileage to and from various airports.

Pros

Mileage - I find it very easy to create a map for mileage to and from the airports when traveling for work as I live far and need to track expenses.
Sub department tracking - we use a corporate card and use Expensify for tracking purchases with great detail that includes receipts and business purposes for different parts of our departments.
Mobile app friendly - we can use the mobile app easily while traveling for adding great quality photos of receipts.

Cons

Global use - we have team mangers and team mates all over the globe and it would be great to have an icon for currency as a manager so I can identify costs and currency conversions for budgeting.
Multiple page receipts - you can only upload a PDF or multiple page receipts. Sometimes you have to go out of the tool and back in to add more pages.
Auto-scanning - auto scanning and tagging could be a bit faster with the use of new AI tools.

Likelihood to Recommend

I would recommend Expensify to anyone in tech and other types of business. We are a large global company and it is easy to use for all the employees and really supports our needs in the department that I work. I think the user interface is very well done and easy to use.
