Use Cases and Deployment Scope

Opentext started in the company to cover the Digital Procurement process. Since it allows integration with our SAP ERP, it is for corporate use. Today other business processes are being addressed, and the use is for internal and external use (Suppliers) .

Information control. Information management. Not good at collaboration or collaborative work on documents. Administration is complex, and requires highly specialized teams to do it.

Use Cases and Deployment Scope

We are implementing OpenText for the first time as part of its document management platform. It is curretnly being leveraged to store non-SAP business documents. There may be an opportunity to create a workflow for documents that need colloboration and approvals.

Pros

  • Create Metadata to help with searching
  • Control versioning you can see multiple versions of a document and can revert back to it if necessary.
  • Document management, it has built in house keeping features.
  • One source of the truth.

Cons

  • Methods of applying permissions could be easier, it is cumbersome and tedious.
  • Searching algorithms could use improvement, most of the time I have to use the advance search features, and it can be hard for users to result to this method when looking for documents.

Likelihood to Recommend

OpenText Enterprise Content Management is well suited for cleaning up company file shares. You can tag documents for searching and can easily search document contents as long as it is in a searchable format. It is also well suited for document management so documents that no longer have business value or that need to be purged for legal and statutory reasons can be easily identified and purged when the retention period is up, or kept longer if a law suit is pending or active.
