Use Cases and Deployment Scope

We have been using Kareo Medical Billing at [...] since we went to electronic medical billing over 10 years ago and we couldn't be happier! Their customer service is excellent and everyone we have talked to is friendly and easy to understand! The wait time on hold is minimal and all of our questions have always been answered!

Kareo Medical Billing has met all the needs of my clinic, Progressive Physical Therapy. My office manager does all my billing and she has been extremely satisfied with Kareo Medical Billing. She raves about the customer service and she spends very little time on hold when she does call them with questions. The Kareo Medical Billing support staff in very friendly and well trained!

Small medical practice emr/billing platform

Pros

  • reasonable pricing for small practice

Cons

  • In my experience, customer service is outsourced overseas with LONG hold times for everything other than Sales.
  • In my opinion, unethical business practices. For example, they will FORCE you to pay fees they "accidentally" add to your bill from time to time and advise they are issuing you a credit which will be reflected on next months bill. Hoping you will forget to contact them when they accidentally fail to credit your bill for last months accidental fees. Immediately issuing a refund for the fees they agree were incorrectly charged is never an option.
  • In my experience, routinely inflate their bills relying on the fact that most physician owned small practices do not have the time to go through their bills each month with a magnifying glass identifing bogus charges and fees.
  • No mac support despite their website stating it is
  • In my opinion, tech support is clueless, and will often say their escalating the issue and provide you a "ticket number" and promise a call back from their escalated tech dept
  • Kareo changed their merchant ID resulting in the autopay cc I had on file flagging their charge as fraudulent. Instead of contacting my practice to get it sorted out their software automatically logged out and would not allow any access until monthly invoice is paid. Classy move.

Likelihood to Recommend

In my experience, problems with them adding incorrect fees to pad their bills coupled with their unethical business practices such as locking you out from accessing your EMR at the drop of a hat prevent me from recommending Kareo to any practice. Reliability is paramount. Kareo's use of unethical business practices (locking you out from your EMR or disabling your EMR all together) can result in a physician being sanctioned by the medical board (inappropriate medical record keeping) or financially destroy a small practice leaving them with NO ACCESS to their ERAs/patient billing accounts etc leads me to NOT reccomend their products or doing business with them.

We do not use Kareo Medical Billing because, in my experience, despite Kareo sales reps claims, it did not provide the features we had been told it has. In my opinion, the sales rep blatantly lied to me about the Kareo Medical Billing features, and based on those lies; I signed a one-year agreement. And before signing the agreement, in my experience, the Kareo rep provided significant hurdles to properly testing the software. After signing the agreement and determining I had been lied to about the features, I canceled the agreement, yet in my experience, Kareo is billing me an "early cancellation fee" which is, in essence, the full one-year price. I will be seeking legal counsel to invalidate this agreement.

Our company has used Kareo Practice Management for 19 years. It is the most user friendly management system for medical practice billing. The reports are excellent and can be customized. With Kareo we get a true reflection of the health of the business. Support is good, and I rarely have to call.

Pros

  • The integration with the clearing house is excellent.
  • Setting up a practice is straightforward and fast..within 24 hours.
  • Reports can be exported to Excel which is particularly helpful for forecasting trends.
  • Customization of billing codes makes Kareo functional for any type practice.

Cons

  • I would like to see a payment report which runs by service location.
  • I would like to have a payment report run by category of payment.

Likelihood to Recommend

Kareo Practice Management is well suited to billing companies with several practices. Not only are there Key Indicators for each practice, but there are reports which summarize the revenue cycle management of the billing company. Reports can be categorized by the practice and by the user. This allows administration to address the staff as well as the individual practices.

Use Cases and Deployment Scope

Kareo is used at our practice as a practice management (PM) tool. Kareo is among three different practice management tools that we currently use—each system maintains a different range of patient dates of service. We would use Kareo to schedule patients, manage recalls, bill patient services, manage accounts receivable, etc. The software is used primarily by our billing team, but the majority of the company has experience using the software.

Pros

  • Kareo feels like it is a pretty quick tool.
  • The scheduling tool is pretty dang easy to use.
  • This item could show up as a pro/con. They offer an Excel add-in as a tool for building reports. The tool has potential but leaves something to be desired.

Cons

  • I've spent hours on the phone discussing various issues with regards to data variance between two different source documents within the software. At one point, I could not reconcile the A/R balance on one of the dashboards to the A/R balance pulled from the Excel add-in. Unfortunately, their support teams were not able to help out with this.
  • The Excel add-in falls short in a few key areas. Specifically, they do not provide a simple method of joining data fields from the "charges," "payments," and "transactions" tables. One is left to attempt to join the data sets via VLOOKUP or INDEX(MATCH).
  • At times, we have had issues with the API providing information that would not tie out to figures reported elsewhere within the software. Unfortunately, their support teams were not able to help out with this.

Likelihood to Recommend

Kareo is far better suited for smaller companies. Also, it is better suited for a company that is not as keen on seeing their data reconcile perfectly to the practice management software. The product will probably provide an adequate custom reporting tool (via Excel add-in). However, a practice should be well aware that the reporting is all done through the Excel interface and does not provide any aesthetically pleasing dashboards.

Kareo Grand Slam

Pros

  • Keeps everything in one place and is easy to find what you need.
  • There are different ways to get to the same screen so whatever works for you can be the right way to get the job done.
  • Sends out information for you with the click of a button. Super easy!

Cons

  • It does not auto balance accounts which would be helpful for us when patient's have a credit on one line but then a balance on another line.
  • The reports could be broken down a little more detailed

Likelihood to Recommend

Overall, I like using Kareo and it is very user friendly but it could use a few modifications on the points I have mentioned. They could also have more training like webinars to keep us users up to date when they add new features. Most of the time we come across useful items by accident but once we know about them we use them to our advantage.

  • Customer service isn't the best.
  • Price, our prices continue to go up.
  • Our EMR transfer to Kareo sometimes has problems, requiring re-billing or calling customer service.

It is a good billing program, but for a smaller practice the price continues to rise, so we are looking at combing our billing with our current EMR system WebPT.

Kareo is a solid billing system for medical practices!

Pros

  • The arrangements with clearinghouses make most electronic billing a breeze. Then it automatically drops all paper claims to a pile that makes us able to easier send paper claims.
  • The reports I can run make it easy to zone in on claims that need special attention.
  • I like how I can easily see the open balance on an account when applying a payment so I know if it is good to settle or needs more attention.

Cons

  • Kareo support is not the most timely. I have to wait far longer too many days than I should when the occasional problem arises.
  • Kareo does not have a connection with one certain clearing house (Jopari )that would make me able to submit some additional claims electronically.
  • Kareo used to have the ability to have an expected amount for each insurance in a table that let me know instantly if one particular payment paid less than expected. They took away that tool.

Likelihood to Recommend

If you want to handle claims in the office, Kareo equips you with a lot of tools to manage it well. We run 200 appts a week or less; if we had a bigger clinic I am not sure how it would work. It would probably still be good, we would just need more people to process things.

Pros

  • Kareo stays up to date on insurance changes which allow for smooth transitions.
  • Kareo asks for feedback and has a place to go and request changes or additions that would make our job easier.
  • I love that you can submit a help ticket or call, if you prefer, with any questions or problems that you may have. They are always very prompt with their follow up.

Cons

  • I do like that you can import reports to Excel, unfortunately when you do it reverts everything to text. You have to manually go in and change the format and redo all the formulas. I would like this be more user friendly.
  • I do like the custom report function, however I have never gotten it to work. You have to download an add-in program but it didn't work either.
  • Several patients ask for a summary of charges and amounts paid by them for the year so they can use for tax purposes. The closest report for this does not give a date range as a choice. It only does by case and most cases go through to the new year. I would like to see this as an option. The only report that does have this has way too much info and would be pages and pages long. I can import to Excel but then I have to reformat and update formulas. (See Above)

Likelihood to Recommend

As a physical therapy group, we are a little different than most doctor and hospital offices. We see patients 2 and 3 times a week for several weeks and then may never see the patient again. So I feel it is a great fit for our clinic.

Kareo billing will make you a billion!....well not quite

Pros

  • As I stated before, Kareo will alert you if you have input something in incorrectly. This saves valuable time in not having claims denied and then having to fix the problem and rebill.
  • Kareo makes it easy to print reports at the end of the year for our clients to use in filing their taxes.

Cons

  • It would be nice to be able to understand the rejections on claims a bit better. It sometimes doesn't give us full sentences explaining the rejection.

Likelihood to Recommend

We are a speech and occupational therapy practice and it is very well suited for us. I previously worked for a family practice and OBGYN practice and I see where the coding part of the software would be highly useful in that type of practice. Kareo keeps track of your most used diagnosis codes.
