OfficeSpace Software offers their workspace management and room booking platform, featuring room planning with mobile visual directory, the Move Manager room and space change scheduler and planning tool, the Request Manager facilities app, and other features.

A better way . . .

Use Cases and Deployment Scope

We use OfficeSpace Software as a way-finding tool, for a space reservation tool and an on-demand work ticketing solution.

Way-finding is primarily used for the several-hundred associates and guests to find their way around our dozens of floors.

Space reservation allows us to used shared desking models where associates can book a seat on any floor, at any site. The function is also tied seamlessly to Outlook for conference room booking.

The on-demand ticketing allows facilities and EHS techs to respond to work requests and report on success metrics.

  • Help and Support
  • Helping internal service providers maintain accountability

Cons

  • I would like to see on-demand ticketing designed for a multi party hand off system that ties to a standardized process flow.
  • I would like an improved interface on mobile generally but especially for move manager and request manger.

  • It has brought stronger function to the team through organizing work.

Pros

  • Easy to book a desk
  • Provides a blueprint of the office
  • Transparent availability for what's available at any given time

Cons

  • Not able to view history of desk
  • Not able to see when a desk will be available at the hourly level

  • Ability to book a desk at any of our offices in the world
  • Real-time availability
  • Ability to schedule a desk by the hour
  • A mobile app that I could use to book a desk on the go

  • Improved our ability to work hybrid
  • When our entire team needed to go in, it helped us be able to book desks near each other
  • Gives a lot of flexibility. We can book a desk in any city in the world that is available.

  • Scenario planning: OfficeSpace Software has a reliable scenario planner.

Cons

  • Tracking employees who work from home for better reporting would be useful.
  • Better tracking of employees with no assigned seating would be beneficial.
  • A more consistent display of photos across desktop and mobile platforms would be welcome.

  • Desk moves -- When assigning a desk to a new user, or shuffling existing users around
  • Floor plans -- Easily find rooms, desks, and coworkers

Cons

  • Cannot update floor plans on your own. Need to send to account rep
  • Move managers definitely need to be trained on how to do things properly

  • Scheduling moves is very easy

Reasons to purchase OfficeSpace

Pros

  • Very easy to learn and use - was up and running after only 1 hour of training.
  • Department can be color coded so it is easy to determine the correct utilization.
  • Customer Service is outstanding - when you need it (which is rarely) you usually get a call or e-mail within 2 hours.
  • They listen to you - they are always updating the software and value the feedback they get from their customers
  • They use the cloud - updates are automatic

Cons

  • The only thing I can think of is possibly a communication from the company on updates and possibly best practices

Return on Investment

  • I feel the software paid for itself in the mere fact that I could use this company wide with easy lookup of employees names, numbers, e-mails etc. A real time saver.
