What is Tungsten PaperPort?

Tungsten PaperPort (formerly from Kofax and Nuance) is a document management software offering. It includes features such as desktop document management solution and allows you to manage and organize your documents in one solution.

Categories & Use Cases

I've used it for years. It WORKS. I intend to continue using it.

Use Cases and Deployment Scope

Tungsten PaperPort helps us solve the problem of simple file organization. We'd been scanning billing, receipts, etc for years, but never had a solid organizing method. Tungsten PaperPort helps us focus not only on the organizational side of that, but also subsequently being able to find something AND open it quickly. That's where things didn't work as well before. Tungsten PaperPort kind of focuses that process... namely, get a good, organized folder structure setup - then be able to search that mass of data and open files, all within a singular app.

Pros

  • See folder structure
  • Create folder structure
  • Move items around between folders
  • Open those items all within the same app

Cons

  • I can't say that anything there strikes me as particularly weak or missing.

Return on Investment

  • Simple focus on organization of files
  • Efficient later, when searching for files
  • Convenient throughout the office, as we're all accessing a shared data store

Usability

Other Software Used

Microsoft 365, TeamViewer, Corel PaintShop Pro, Corel VideoStudio Pro, Visual FoxPro (Discontinued), QuickBooks Desktop Pro, SplashID

Paper organization beyond belief! Throw out your filing cabinets and finally become a TRUE paperless office!

Use Cases and Deployment Scope

We use Kofax PaperPort to work towards a 'paperless office'. We scan in receipts, invoices from other vendors, etc. It helps us keep everything organized and 'searchable'. We can then shred the paper copies allowing for a lot less filing cabinets. Kofax PaperPort also allows us to edit any PDF Documents, stack multiple documents, etc.

Pros

  • PDF Editing.
  • PDF combining/stacking/unstacking.
  • Adds Search-ability to documents.
  • Organization of scanned documents.

Cons

  • A little clearer indication of which document gets stacked on which when stacking documents.
  • PDF editor sometimes messes up PDF formatting.
  • Program sometimes completely crashes for no reason.

Most Important Features

  • Reduction of paper documents.
  • Organization of documents.
  • Search-ability of documents.
  • Editing of PDF files.
  • Stacking/Unstacking PDF and other documents.

Return on Investment

  • Kofax PaperPort has cutdown on our paper storage by ~85%.
  • Time to find a document is significantly faster than when using filing cabinets.
  • PDF Editing is built-in, allowing us to not have to pay for Adobe Acrobat.

Alternatives Considered

Adobe Acrobat Reader DC and Microsoft Office 2016 (discontinued)

Other Software Used

Microsoft Office 2016 (discontinued), Adobe PhotoShop, Ultimaker Cura

PaperPort - FileManager cum scanning tool

Pros

  • With Kofax PaperPort, documents can be merged, pages can be extracted from multiple documents and combined to make a new PDF document. It is an important feature as one needs to do it very often and more ubiquitous pdf readers like Adobe Acrobat Reader DC lacks functionalities like these.
  • Kofax PaperPort scans the documents and using it's OCR, converts these scans to searchable PDF documents so that these documents can be searched based on the text content in them.
  • Functionality to convert other formats to PDF and PDF to other formats. This is important as many times , we need to upload certain documents only in a specific format and conversion is required to and from PDF format.

Cons

  • Only compatible with Windows. Has no support for Mac based devices.
  • Support needs to be improved as it's currently not up to the mark.
  • Hangs a lot which should not happen considering the kind of hardware being used.

Most Important Features

  • Ability to directly connect with scanning devices and convert the scans into searchable PDFs.
  • Files indexing and search capabilities.
  • Multiple options like passwords and encryption to secure the documents.

Return on Investment

  • Less amount of money is spent for filing purpose as less number of people and space are required for filing purpose now.
  • Information retrieval has become way faster as documents can be searched based on labels or on the basis of their content.
  • Lot of options to improve the quality of the scanned image.
